Job Description

WestCoast Children’s Clinic, located in Oakland, California, is a non-profit community psychology clinic that provides mental health services to Bay Area children, youth and families. The WestCoast Children’s Clinic’s STAT program is an innovative, model program that provides mental health Screening, Stabilization and Transition (STAT) services to children as they enter the foster care system in Alameda County. The STAT program serves children and young adults, ranging in age from just a few days up to their 21st birthday. The program is committed to helping them cope with the traumas of abuse and neglect while working to minimize the impact of being separated from their family, home, and community. 

The STAT Administrative Assistant will assist in organizing and coordinating office operations and procedures in order to ensure STAT Program effectiveness and efficiency. The STAT Administrative Assistant is also responsible for maintaining the safety, cleanliness, privacy, and presentation of the Assessment Center in coordination with the Facilites Coordinator.

Key Responsibilities:
  • Assist with preparation for in person meetings/trainings
  • Coordinate all catering orders for in person trainings, meetings, and events
  • Coordinate with IT department to maintain office equipment at the Assessment Center 
  • Assist in planning and implementing office systems, layout and equipment procurement
  • Organize all treatment program supplies
  • Manage all aspects of STAT Program Inventory
  • Assist Sr. Facilities Manager and Facilities Coordinator in ensuring site compliance
  • Assist Facilities Coordinator with daily and monthly facilities checklist ensuring all emergency supplies and equipment are updated
  • Collaborate with Facilities Coordinator to provide Safety and Facilities orientation tours and training
  • Work with Facilities Coordinator to help facilitate quarterly drills to ensure staff are prepared in the event of an emergency
  • Manage all aspects of badge processing for all staff
  • Oversee and track milieu program treatment supplies, food and snack, and staff benefits
  • Oversee all aspects of office and Assessment Center inventory
  • Monitor key cards issued to WCC staff from Alameda County
  • Ensure protection and security of files and records
  • In collaboration with Facilities Coordinator, ensure effective transfer of files and records between Assessment Center, WCC Fruitvale office, and offsite storage

Work Schedule:

Tuesday-Saturday, 9am-5pm

Qualifications:

  • BA/BS preferred
  • Prior office administration and facilities experience preferred
  • Licensed driver with a clean DMV record, current car insurance, and access to a car. Position requires driving to transport materials and supplies.
  • CPR, First Aid, and Bloodborne Pathogens certification is required.
  • De-escalation techniques are preferred.
  • Position may require working irregular hours, including some evenings and weekends.

  • Computer proficiency with experience in MS Office Suite and Google applications.
  • Demonstrated expertise with office management/administration.
  • Ability to maintain confidentiality of documents, files, and client information
  • Ability to focus in a very fast-paced environment and be flexible with multiple daily interruptions and shifts in prioritizing tasks.
  • CPR and De-escalation training required.
Position Details and Compensation:

This is a full-time (Tuesday-Saturday) hourly position. Position is located onsite in Hayward, CA. Hourly rate is $23-$25 per hour, with 10% language differential (if applicable), and includes competitive benefits and compensation package, 403b and performance-based compensation plans.
