Office Admin Assistant
Job Description
As an Office Assistant, you will provide essential administrative support to ensure the efficient day-to-day operation of the office. You will undertake various tasks to assist colleagues and managers, maintain an organized workspace, and contribute to a productive work environment.
- Assist with data entry, document preparation, including typing, formatting, proofreading, and filing.
- Assist HR in handling inquiries and requests from employees, clients, and vendors.
- Manage and maintain HR records, files, and databases, ensuring accuracy and confidentiality.
- Help in maintaining accurate employee records, including personal information, employment history, and training records.
- Assist with HR projects, such as diversity and inclusion programs, employee engagement initiatives, and training programs.
- Support in the administration of employee benefits programs, including health insurance, retirement plans, and leave policies.
- Assist employees with benefit-related questions and enrollment processes.
- Assist in updating and organizing employee handbooks and HR policies.
- Post job openings on company websites and external job boards.
- Review resumes and applications, and assist in the initial screening of candidates.
- Coordinate interview schedules and communicate with candidates about the interview process.
- Prepare new hire paperwork and ensure all required documents are completed.
- Assist in the orientation process by providing information to new employees.
- Prepare and distribute meeting agendas, minutes, and follow-up action items.
- Design visually appealing and effective PowerPoint presentations for various purposes, including executive meetings, client presentations, and internal reports.
- Participate in office improvement projects and process enhancements.
- Assist office managers and supervisors with various administrative tasks.
Skills Needed:
- High school diploma or equivalent; associate's degree or bachelor's degree in business administration or related field is a plus.
- Proven 2 year experience in an administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Strong organizational skills with great attention to detail.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage time effectively.
- Discretion and confidentiality when handling sensitive information.
- Attention to detail and a commitment to data accuracy.
- Problem-solving and multitasking abilities.

Compensation:
- Hourly: $15 to $18/hour
