Office Administrative Assistant  

We are seeking an enthusiastic and detail-oriented Office Administrative Assistant to join our team. This role is crucial in ensuring our office runs smoothly and efficiently. The ideal candidate will be proactive, organized, trustworthy, and able to handle multiple tasks. You will support various administrative functions, including office maintenance, vendor management, travel arrangements, and event coordination. 

This is a hybrid position. You’ll enjoy the flexibility of working remotely two days per week, while spending the remaining three days per week on-site at our wonderful office in Long Beach, CA.


What You’ll Do: 

Administrative Tasks:

  • Assist in coordinating and planning company events, meetings, and conferences.
  • Manage the office calendar, scheduling appointments and meetings.
  • Organizing and maintaining administrative files and archives.
  • Handle mail and correspondence.
  • Provide general administrative support to the executive team and other departments as needed.


Office Maintenance:

  • Ensure the office environment is clean, organized, and well-stocked with supplies.
  • Handle procurement of office supplies, equipment, and services.
  • Order office lunches.
  • Maintain office visitor logs.
  • Coordinate with IT and maintenance services for any repairs or upgrades needed.

Vendor Management:

  • Establish and maintain relationships with office supply vendors, service providers, and contractors.
  • Assist with monitoring and reviewing vendor contracts and agreements to ensure compliance and cost-effectiveness.
  • Process office vendor accounts payable and receivable, reconciling vendor invoices and statements promptly.

Travel Management:

  • Arrange travel accommodations, including flights, hotels, and transportation for staff and visitors.
  • Process travel expenses and reimbursements promptly.
  • Maintain a travel policy and procedures.


The Experience You’ll Need:

  • Minimum of 3 years of experience in office administration, facility management, or a similar role.
  • Proficiency in Microsoft Office and Google Workspace , Slack, Zoom, and accounting software (e.g., QuickBooks, SAP).
  • Strong analytical skills with the ability to interpret data and produce accurate reports.
  • Exceptional organizational and time management abilities, with a proven track record of meeting deadlines.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.

Base Salary: $67,000-74,000

The base salary offered is determined by several factors, including but not limited to the applicant's qualifications, relevant experience, specific skills, level of education, certifications or professional licenses, and geographic location where the job will be performed. Please note that the compensation details listed in US role postings reflect the base salary only, and do not include any bonus, equity, or benefits.

Total compensation package also includes stock options. Final compensation will vary based on experience and various other factors.
