We are excited to welcome a dynamic and enthusiastic Site Administrator to our ResMed Halifax team to play a key role in maintaining a productive and well-organized workplace. The ideal candidate will possess a positive, can-do attitude, ready to take initiative and tackle new projects. Adaptability is key, as you'll need to navigate evolving tasks and responsibilities with ease. Strong organizational skills are essential for prioritizing tasks effectively, even on short notice, while maintaining accuracy and attention to detail.

The Site Administrator is essential to ensuring the smooth operation of our Halifax Office, supporting administrative functions, and fostering a people-first workplace culture. If you're a self-motivated problem-solver with a passion for driving office culture, we'd love to hear from you. 

Responsibilities:

Office Operations: Oversee day-to-day operations of the ResMed Halifax office, including facilities management, supplies procurement, and relationships with vendors/building management. Typical day-to-day responsibilities include re-stocking kitchens/café with coffee, healthy snacks, and beverages. Coordinating facilities maintenance and/or cleaning. Receiving and distributing incoming mail. Assisting the People internal IT Team employee onboarding/offboarding.

Administrative Assistance: Provide administrative support to Director and VP as required, including expense management, event planning and other duties as assigned.

Event Coordination: Plan and coordinating office events such as the Holiday Party, Summer Event, meetings, and team-building activities. Work with the Social Committee to support their events, activities and initiatives. Personalizing and coordinating catering for teams as requested.

Communication: Act as a liaison for both internal and external communications. Help in composing and distributing corporate messages.

Support special projects and ad hoc tasks as needed.

Must-have:

  • Strong written and verbal communication skills.
  • Intermediate working knowledge of Microsoft 365 such as Teams, Outlook, Word, Excel, and PowerPoint with a strong ability to quickly and easily learn new programs.
  • Diploma from a recognized Office/Business Administration Program or equivalent experience. 
  • 3-5 years of experience in an Administrative or Office Manager role. 

Preferred:

  • Proven experience in administrative roles, preferably in the tech sector or other fast-paced environments.
  • Knowledge of health and safety regulations and best practices.
  • Event planning experience
  • Expense with management software, desk booking software, FedEx, Canva and other inter-office collaboration tools.
