Job Title: Office Administrator – HQ (On-site)
Summary:The Office Administrator is responsible for delivering exceptionally professional, timely, and value-add support for multiple executives and daily management of the office to ensure smooth operations of the work environment. Main office activities include welcoming and directing visitors, coordinating meetings and appointments, maintaining the security badging system, shipping and receiving, answering phones and responding to emails. Administrative executive support includes calendar management, booking travel processing expenses, and coordinating team meetings.
Responsibilities Include:
- Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
- Manage agendas, travel plans, expense reimbursement, and appointments for executives
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Provide receptionist duties of providing access into the HQ building, greeting and welcoming visitors, answer and direct general company inquiries
- Maintain the security badging system, creating new badges for employees, vendors and visitors for HQ and Pearl River locations and modifying security access levels on existing badges as needed
- Create purchase requisitions and process invoices of orders
- Replenish, track and replace office and beverage supplies as necessary to avoid interruptions in standard front office procedures
- Coordinate services provided by HQ vendors
- Submit reports and prepare proposals and presentations as needed
- Manage conference room calendars, coordinate logistics and/or catering for company, office, or team meetings and events
- Maintaining Corporate HQ buildings, including entry of maintenance and IT work orders and maintaining building occupancy records
- Coordinate company support for local donation requests and activities
- Backup to Sr Executive AssistantÂ
- Assist colleagues whenever there is an opportunity to do so
- Other projects and duties as assigned
Qualifications:
The following are required for the role
Minimum Qualifications:

Associate degree or equivalent relevant work experience
-
3+ years administrative support, receptionist experience or office management
-
Strong customer focus orientation and teamwork
-
Strong organization and time-management skills with a track record of efficient and reliable execution of responsibilities
-
Excellent verbal and written communication skills
-
Experience with the Microsoft Suite (Office, Teams, PowerPoint, etc.)
-
Demonstrated discretion and confidentiality
Preferred Qualifications:

Proficient in use of SAP, Workday, or similar business systems
What We Offer:Base Pay Range: $29 - $43
