How YOU will make a Difference:
Supports and Manages administration and office procedures for the Bellevue Office, including creating and maintaining an outstanding office work environment for our staff and visitors. Applicants must live within 10-15 minutes of HMA's corporate office in Bellevue. This position is part-time but requires flexibility in working hours.
Successful applicants for this position must be fully vaccinated against COVID-19 as a condition of employment.
What YOU will do:
- Serves as the point person for office duties including: facilities, mailing, supplies, vendor relationships, errands, etc.
- Liaise with facility management and vendors, including janitorial, maintenance, property management, office suppliers, and security solutions.
- Coordinates with 3rd party vendors with planning and executing catering services for office meetings, events, trainings and executive leadership as needed.
- Troubleshoots, reports building issues/repair needs to facilities leadership and coordinates with property management and/or other vendors for resolution within established parameters.
- Manages proper supply, organize and orders inventories to include beverage and office supplies, kitchenette areas, office machines and conference rooms.
- Ensures the conference rooms and common areas are well maintained and properly set for scheduled meetings and events.
- Provides excellent on-site service to external partners, visitors and new employee onboarding while providing a positive experience during correspondence and when they are onsite.
- Partners with HR, Compliance, and IT to administer and maintain policies related to the office.
- Handle incoming and outgoing mail, coordinate shipping and receive packages.
- Manage and support record management programs and initiatives.
- Oversee and manage the in-office experience for staff and visitors, including the primary administration of in-office access control, desk scheduling and visitor management tools.
- Serve as Receptionist, and answer main corporate line as needed.
- Provide onsite facility presence- minimum 2-3 days per week, and be available for after-hour emergency notification and onsite support as needed.
- Coordinate and assist with Employee safety programs including Ergonomic assessments, and resources in partnership with HR Coordinator.
- Coordinate mailroom operations and work with both operational teams and vendors to drive mailroom process efficiencies and cost reductions.
- Support space planning and lease management activities, including serve as a primary contact for sub-tenant(s) for issues, concerns and general touchpoints.
- Manages sensitive information with the highest level of confidentiality.
- Assist with calendar management and a variety of other administrative tasks that include: tracking action items; completing expense reports; developing meeting agendas, and presentations, and sharepoint page administration for Facilities
- Maintain statuses of current or ongoing projects and manage special ad hoc projects as requested
- Assist with planning and coordinating on and off-site events (meetings, company parties and outings, business and department special events, etc.)
Knowledge, Experience, and Key Attributes needed for Success:
- Must be local - must live within 15 minutes of Bellevue Office
- Flexible in regards to working hours
- 2+ Years of Office-Admin Experience
- Intuitive, able to anticipate needs and develop options
- Strong partnership with facilities leadership
- Partners with leadership to make HMA a great place to work
- Ability to collaborate, engage, and provide support to all levels and departments
- Proven track record of delivering measurable results, and is self-directed
- Strong verbal and Written communication skills
- Past work experience in an insurance or medical (HIPAA regulated) environment- a Plus.

Compensation:
The base salary range for this position in the greater Seattle area is $22.00-$28.00 p/hr and varies dependent on geography, skills, experience, education, and other job or market-related factors. Performance-based incentive bonus(es) is available.
