The Office Assistant is expected to work in the office at least three days a week (Monday and two other days may vary).
Additional in-office days are required on the following dates: April 1-15, September 1-15, and October 1-15.
The Office Assistant is also expected to work overtime and on weekends during tax seasons March/April and September/October and as circumstances require.
As an Office Assistant supporting the Long Beach office, you will be responsible for, but not limited to, the following:
- Responsible for the efficient operation of the Long Beach office assisting the Office Manager with facility issues, scheduling deliveries, ordering supplies, and overall office organization.
- Handle general administrative tasks: scanning, phone support, greeting visitors, presentation material preparation, and correspondence, as needed,
- Process mail, scanning mail to staff and highlight action or important items, and respond to inquiries as necessary, creating certified and FedEx mail.
- Client onboarding and maintenance, including preparation of engagement letters, preparing billing reports, and invoicing, with some tax processing.
- Plan periodic on-site meetings and trainings, which include preparing agendas, coping presentations, and coordinating meal catering and delivery.
- Maintain knowledge of Firm policies and procedures and answering, refer or directing requests and inquiries to the appropriate staff.
- Cover administrative assistant duties as needed.
To be successful, these are the skills and experience you will need:
- Minimum of 3 years of relevant experience
- High attention to detail with the ability to meet deadlines
- Proficient in MS Office Suite; billing software experience preferred
- Strong communication skills both written and verbal
- Team player attitude with proven people skills
- Available for seasonal overtime to meet billing deadlines
This salary range is specific to the state(s) listed and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill set and education; experience and training; licensure and certifications; and other business and organizational needs. A reasonable estimate of the range for this position is $50,000 to $53,000.
