Maven is a proprietary trading organisation formed in 2011. We employ the most talented traders, developers and engineers in the market, executing a diverse range of strategies across global equities and derivatives. We are the most active participant in many of the products we trade, contributing significant liquidity to markets around the world.

We have offices in London, Hong Kong and New York and we have recently opened a new Chicago office as part of our plans to expand our coverage of derivatives markets.
Our Office Assistant will be instrumental in helping us build out our Chicago office alongside business activity. This is a great opportunity to support our staff and improve facilities and services. You will be adept at handling daily challenges while maintaining and leveraging our distinct culture within our dynamic, growing office.
This is a varied role that is best suited to a proactive and dedicated individual who is excited about working in a fast-paced environment and demonstrates a ‘can-do’ attitude in everything they do!
The role is a permanent part-time position based 5 days a week in our Chicago office.
WHAT YOU’RE GOING TO DO:
- Responsible for the general maintenance and ongoing development of Maven’s Chicago office
- Support day-to-day office operations and management of the Chicago office i.e., travel arrangements, greeting visitors, coordinating both external and internal meeting, and restocking supplies/groceries for the office
- Facilitate office events and be involved in social planning
- Be the main point of contact for the building and build upon the relationships with third-party service providers that Maven already has
- Ensure that facilities continually meet the applicable regulatory, environmental and health & safety standards and ensure information relating to the office is maintained in an orderly, logical, and centralised location that is accessible to other stakeholders in the business
- Effective communication with landlord, facilitate solutions for service requirements and issues including lighting, power, air conditioning, etc
- Maintain seating plans for all offices and coordinate reorganisations with the relevant teams
- Management of third-party cleaners
- Manage office-related contracts and review them on a general basis
- To comply with all applicable Compliance policies, procedures, laws, and regulations
- Manage ad-hoc space requirements (i.e. auditors, interns)
WHAT WE’RE LOOKING FOR:
- At least 4 years of relevant experience, preferably in financial services
- Strong attention to detail and highly organised
- Ability to assimilate requirements from multiple internal stakeholder groups
- Ability to disseminate information in a clear and concise manner
- Health and Safety qualification
- Fire Marshall/First Aid training
- Leadership, ownership, and a can-do attitude
