What You’ll Do: 

We’re looking for a Office Coordinator to join our People team in Los Angeles 

Our People team is looking for a detail oriented, proactive individual who is passionate about what they do and understands their impact on the team. This person will support the People Team by owning and analyzing key data from our systems and developing relationships with internal partners both within the People Team and across the organization. 

  • Upload, manage and input Corp/personal cc receipts into Concur on a monthly basis for Execs. 
  • Greet and register all visitors in a professional and friendly manner, notifying the respective hosts of their arrival 
  • Provide the highest level of customer service and respond to all guests and visitors.  
  • Maintain and manage the conference rooms with necessary equipment & keeping them clean, neat and well stocked. 
  • Maintain and restock kitchen and restrooms.
  • Manage all incoming mail, packages, freights, and distribute appropriately (requires some physical lifting/carrying. Hand trucks are available)
  • Arrange security clearance with building management for all employees and guests, and assist in the distribution of new employee badges
  • Maintains relationships with vendors that provide services and goods to the office. Ensures all vendors have current proof of insurance (COI) and contractual documentation in place, per building requirements.
  • Work closely with building management to manage all service requests (clearance, maintenance, badges, freight deliveries, etc…)
  • Knowledge with creating domestic and international FedEx labels online (custom requirements for int’l only). 
  • Coordinator is responsible for creating a supportive and comfortable atmosphere by welcoming visitors and supporting employee-facing services. Workplace Experience Coordinators will be the heart of the workplace, providing elevated hospitality services through coverage of the front desk, concierge services, organizing and placing catering deliveries & assisting client meetings with room set-up and scheduling. 
  • Work closely with IT for equipment or accessory request from employees. 
  • Assist in setting up and cleaning for office events (i.e. Happy hours/culture events/etc). 

What will I bring? 

  • Advanced in Excel, Word, Microsoft Office 360, PowerPoint, Concur, Slack, Zoom/Google Meet/Webex 
  • Proven ability to work in a fast-paced environment with dynamic deadlines 
  • Excellent verbal and written communication skills, ability to prepare clear and concise client-ready documents 
  • A strong eye for detail; data driven 
  • Energetic, happy and uplifting personality

In support of pay transparency and equity, the minimum and maximum full-time non-exempt annualized pay for this role in Los Angeles City is $50,000 - $53,500 at the time of posting. While this is our reasonable expectation this is not a guarantee of compensation or salary, actual compensation is influenced by a wide range of factors including but not limited to skill set, level of experience, education, certifications, responsibility, and geographic location.  Candidates hired to work in other locations will be subject to the pay range associated with that location. We offer a variety of benefits including medical, dental, vision, disability insurance, 401(k), EAP, parental leave, unlimited vacation, and company-paid holidays.
