ANA is headquartered in Henderson, Nevada with locations in Cypress, California and Spartanburg, South Carolina. ANA is growing and scaling and we are seeking an Office Coordinator to join our growing team in an onsite position in Henderson – 1770 Building. As an Office Coordinator, you will have the opportunity to support the corporate headquartered office building. The ideal Office Coordinator will be the first point of contact for visitors and clients, providing exceptional customer service and administrative support to the corporate headquartered office. In your day-to-day, you will act as the receptionist and ensure the office spaces on the first and second floors are presentable and fully stocked in all conference rooms, shared spaces such as the break rooms, and kitchen, and ensure the office supplies are organized and fully stocked. You will answer incoming calls and direct them to the appropriate person or department and receive and sort all mail and deliveries from couriers and delivery services.

This position is fully onsite, and the work schedule is weekdays at 8:00 – 5:00pm.
This role reports to Executive Administration Manager.
Role & Responsibilities:
- Greet and welcome visitors in a professional and courteous manner and notify team member of their guest’s arrival
- Answer incoming calls and direct them to the appropriate person or department
- Manage the conference rooms, shared spaces such as the break rooms, and kitchen area, ensuring it is tidy and presentable.
- Ensure that the overall office is clean, organized, fully stocked for our ANA Team and our guests in the general open office area on the first and second floor and all lobby areas, conference rooms, kitchen, patio, copy/print area, storage closets
- Prepare desks for new hires in the corporate office building with standard office suppliesÂ
- Ensure all TVs and fresh coffee are brewed at the beginning of each workday and ensure all TVs and coffee burners are shut off at the end of each workday and all refrigerators and appliances are firmly turned off/doors shut for safety precautions
- Receive and sort daily mail/deliveries/vendor couriers and deliver it to the appropriate team member
- Provide basic information to visitors regarding office procedures, services, and facilities
- Assist with administrative tasks such as data entry, filing, photocopying, scanning, and document/presentation preparation
- Maintain office security by following safety procedures and controlling access via the reception desk
- Coordinate with other departments to ensure smooth communication and workflow
- Handle inquiries and provide information to clients, customers, and the general public
- Assist with organizing meetings and events as needed. Support ANA team in preparing for meetings and visitors such as arranging the conference room based on meeting needs, ordering, receiving, and organizing the group lunches, and coordinate offsite lunch/dinner reservationsÂ
- Provide and prepare needed materialsÂ
- Keep inventory and restock office as necessary with janitorial, and kitchen supplies and adhere to office supply order process for purchase orders
- Coordinate with onsite office vendors on an as needed basisÂ
- Run offsite errands on an as needed basisÂ
- Other duties as assignedÂ
Qualifications:
- 1+ years of experience as a receptionist, front office representative, or similar role
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) required
- Excellent communication skills, both verbal and written
- Strong organizational and multitasking abilities
- Ability to remain professional, calm, and composed under pressure
- Customer service-oriented attitude for internal and external users
Physical Requirements:
