THE ROLE: Office Coordinator
Rue Gilt Groupe (RGG) is looking for an Office Coordinator to join our team at our Boston Seaport office. In this role, you will play an integral part in shaping the office culture and daily operations. Working directly with vendors and employees across various business functions at all levels and assist with our daily activities at our Boston Seaport office.
You will be the first impression for many as they enter our workspace. Thus, we are looking for someone who is a positive, self-starter with a particular attention to detail and a great knack for multitasking and keeping things clean and orderly. This role fosters creativity, new ideas, innovation, and can be as wide or narrow as you see fit.
Expected working hours are from 9:00AM - 5:00PM ET, but flexibility is helpful for occasional events and celebrations. A typical work week would be comprised of three (3) days in the office (Tues-Thurs) and remote work two (2) days/week. Additional office presence may be required based on project execution.
In this role, you will (but not limited) support the following…
- Ensure all visitors feel welcome at RGG and that the office maintains an inviting appearance.
- Own and or support logistics and execution of in-office events, team off-sites, meetings, philanthropy activities and RGG’s end of year Holiday Party
- Manage restocking of all kitchen/office supplies, office snacks/beverages, Cintas, cleaning schedule
- Manage expense report creation, Amex Monthly Expenses, Amazon Business Account.
- Project manage facilities related projects and monitor facilities spending.
- Serve as main point of contact for building management team and contractors.
- Provide support for new hire orientation, employee birthdays & anniversaries.
- Co-own creation of weekly company newsletter.
- Office mail distribution.
- Involvement in various People team initiatives and workstreams as dictated by bandwidth.

- Professional experience in similar like role, reception, administration, and/or facilities management, event coordination, etc. Project Management experience is a plus!
- Positive and self-motivated with a passion for customer service who is energized by an environment that fosters connections.
- Responsible, dependable, and highly organized with great follow-through.
- Ability to manage multiple projects at the same time and be comfortable pivoting when necessary.
- Excellent communication skills – both written and verbal.
- Experienced with Microsoft Office, Microsoft Outlook, Slack, and Google Suite.
- Must be able to lift 10 lbs on a regular basis.
Base Salary Range: $55,000 - $60,000
Rue Gilt Groupe is committed to providing Associates with equal pay for equal work and carefully considers a wide range of compensation factors, including prior experience, skills and expertise, location, and internal equity. Our goal is to support, reward and compensate the entire individual. Depending on role eligibility, your offer may also include bonus/commission, equity, 401(k) match, and a variety of benefits. Therefore, final offer amounts may vary from the amount stated.
