Office Coordinator
Job Description
Work Flexibility: Onsite
DAILY
- To greet visitors and answer incoming calls in a professional manner and to ensure the reception area, meeting rooms, filing rooms are tidy and presentable
(once a day check air purifier light on functioning well).
- To ensure sufficient office supplies and provide office equipment management, i.e. stationery, pantry, mail, furniture, telephone system, delivery/courier arrangement, business card printing etc. (stationary through vendor place order, not meeting card, back up with Win at pantry, mailing stamp, pigeon hole, remind staff to pick up register mail, chop on arrival day, courier notify staff, Pandora notify staff to collect once receive printed business card)
- Next system – raise PO, Payment

MONTHLY
- Interview arrangement
- To provide other general support on office administration & office maintenance activities which will include mailing record (letters and parcels), holiday signage, supervise cleaning assistants, maintenance of pump, water purification system, headsets and speakers, coffee machine, dish washer, office plants, first aids box, paper bulk shredding, carpet cleaning, pest control etc. (mainly by Pandora and Win liaise with vendor, Emergency contact Jane)
- To maintain office security procedures and general work safety environment by monitoring CCTV, registering visitors, issuing visitor badges, coordinating with property management, fire drill, Octopus card access registration etc.
- To regularly update office telephone list (now by Jovita), seating plan, vendors list (maintenance list)
- To assist in organizing office activities, such as hotel conference room booking, gifts for staff
- To participate in ad hoc projects such as office relocation, mail re-direction, office address updates with vendors/internal offices, events support including room setting, access cards and turnstile access for guests, stationery, waters, additional ac and loading bay arrangements
- For new joiner, prepare access card, notify cleaning lady clean up cubicle assigned, welcome package (GPTW gift access card+ toilet key)
