Position Job Title: Office Coordinator

FLSA Status: Hourly Non-Exempt

Position Summary

 Facilitate the timely and accurate processing of all vendor payables, filing, assisting team members with accounts payable duties.

Specific Job Duties

Administrative and Clerical Support:

  • Process mail, faxes, photocopies and other communication.
  • Answer phone
  • Maintain current files for all designated documents.
  • Provide administrative support to other departments on an as needed basis as directed by assisting with correspondence, mailings, travel, arrangements, office meetings and outings, and other tasks as directed.

General Duties and Responsibilities:

  • Monitor/Manage office supplies for corporate office
  • Manage relationships with office supply vendors
  • Manage/Maintain office appearance and operations.
  • Assist with handling travel arrangements as needed.
  • Assist with all other special projects and tasks as directed by management.
  • Maintain calendar, schedule appointments and meeting and notify appropriate personnel.
  • Prepare various reports and spreadsheets as needed.
  • Compose and prepare simple correspondence.
  • Interface with accounts payable, check releases, check for appropriate PO’s and distribute invoices for approval and coding as needed.

Position Qualifications

Education

  • High school diploma or equivalent
  •  College degree preferred

Experience

  • 1-2 years of office experience preferred

Skills

  • Proficiency in handling multiple tasks and priorities.
  • Ability to work cooperatively with a variety of personality types.
  • Excellent written and verbal communication skills.
  • Must possess superior secretarial and organizational skills.
  • Ability to work with minimal supervision.
  • Computer literate with proficiency in Word, Excel and Power Point.
  • Ability to perform the essential functions of the job and be a team player with a strong work ethic.

Base Salary: The expected base salary range for this position is between $55,000 to $65,000 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday. Additionally, this position is eligible for an annual bonus based on divisional and individual performance.
