Prove is looking for an energetic and dynamic candidate to join us as an Office Coordinator. You will contribute to the employee and client experience in our fast-growing India region. You have strong multi-tasking skills, a focus on customer experience, and demonstrate operational excellence.
What You Are Accountable For
Â
- Calendar & Travel Management support for Chief People Officer, Chief Marketing Officer, and General Counsel.
- Support company operations by maintaining office and management of vendors (food, water, etc.) for NYC Office.
- Maintain office services by organizing office operations, correspondence, filing systems, reviewing and approving supply requisitions (assigning and monitoring as well).
- Provide for retention, protection, retrieval, transfer, and disposal of some physical
- Implement office policies, standards and procedures, measuring results against standards, and making necessary
- Complete operational requirements by scheduling and following up on work results and for any
- Assist with cultural/office events to create the same experience globally no matter of location, may include finding local vendors and purchasing and purchasing local office/employee experience
- Manage SWAG deliveries across the region, to include the shipping and receiving of SWAG kits particularly for new
- Maintains office cleaners and other temp staff by recruiting, selecting, orienting, and training for Facility maintenance
- Minor bookkeeping of some transactions for Prove when
- Prepare agendas, make travel arrangements, and maintain calendars for senior
- Track stocks of office supplies and place orders when
- Manage phone calls and correspondence (e-mail, letters, packages )
- Coordinate with the colleagues for any travel needs for the official purposes and if needed perform site visits and correspondence travels by self when needed
- Collection of the documents to transfer the sensitive documents for the company between the office and employee locations when
- Visit the Local Govt Departments for any Legal requirements for the regulators and for any Legal Bonds
- Assist colleagues whenever
What We Require
- 1-3 years of executive support & office operations experience
- High attention to detail
- Strong communication skills
- Proficiency with Gmail, Google Calendars, MS Word, Excel
- A focus on customer experience and providing best service for employees and client
- Enthusiastic and passionate
- Able to lift up to 20 pounds
- Experience in cybersecurity, fintech, or fast-growing startup is preferred
This is an temporary in office position located in our New York City office. Hourly compensation is $30 - $35 per hour.
