Description:

The Office Manager is responsible for overseeing the daily operations of an office, ensuring that it runs smoothly and efficiently. The role involves managing the resources, processes, and people necessary to deliver administrative support to the organization. 

Primary Responsibilities include:

Critical role in managing Company’s office space:

  • Be present at the entrance to greet visitors, vendors and provide general support as needed.
  • Point of person for maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Partner with HR to maintain office policies, as necessary.
  • Provide orientation and other helps to new hires.
  • Organize office operations and procedures.
  • Overseeing office maintenance, including repairs, cleaning, and safety compliance including daily upkeep of the office including the kitchens.
  • Overseeing the daily lunch orders to ensure on time arrival and correct delivery.
  • Coordinate catering, cleaning, repairing, security, and other facility-related services
  • Purchase, stock and distribute office and kitchen supplies and run errands as needed.
  • Receive, sort & ship mails/packages.
  • Address employees’ queries regarding office management issues (example -stationery, hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Plan in-house or off-site activities, like parties, celebrations, and conferences.
  • Managing office budgets and resources to ensure that operations are cost-effective and meet financial targets.
  • Ensuring that quality standards are met and maintained throughout the office.
  • Working closely with other departments, such as finance and human resources, to ensure that office operations are aligned with overall business goals.
  • Ensure that office staff have the necessary tools to perform their jobs by ordering and tracking office supplies.
  • Act as the first point person to promote a positive company culture.
  • Keep common areas neat, pleasant, and functional.

Executive assistance

  • Support leadership team in office tasks as reasonably requested.
  •  Provide executive support to senior executives, such as CEOs, COOs, and CFOs.
  •  Managing travel arrangements, including flights, hotels, and ground transportation.
  • Multitasking and prioritizing tasks effectively to manage competing demands and deadlines.
  • Managing confidential and sensitive information with discretion and professionalism.

 

Requirements and skills

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • At least 3-5 years of experience in an office management or executive support role, preferably within a fast-paced startup work environment.
  • Knowledge of Office Administrator responsibilities, systems, and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (example fax machines and printers)
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Bachelor’s degree desired; additional qualification as an Executive Assistant or Administrator would be beneficial

The base salary range for this full-time position is $70,000 - $85,000 + bonus + equity + benefits. Our salary ranges are determined by work location, job-related skills, experience, and relevant education or training. The ranges displayed on each job posting reflect the minimum and maximum target for new hire salaries but are subject to change if the leveling of the role is adjusted.
