Job Profile: Office Manager
Location: Carrollton, TX (On-site)
Job Responsibilities: The Office Manager plays a crucial role in ensuring the smooth day-to-day operations of ViaPlus's office. This position is responsible for maintaining a productive and welcoming work environment by managing administrative tasks, handling office logistics, and supporting the executive team with travel arrangements. Additionally, the Office Manager will oversee basic procurement activities to ensure the timely and efficient acquisition of necessary supplies.
Responsibilities:
- Oversee daily office operations, ensuring the workspace is organized, clean, and stocked with necessary supplies for multiple office locations.
- Manage office facilities, including handling repairs, coordinating maintenance, and maintaining a safe and functional work environment.
- Order groceries, snacks, beverages, and general supplies for multiple offices, and ensuring areas like the kitchen and common spaces are tidy and well-maintained.
- Restock and organize office supplies, including paper, toner, and other materials.
- Handle travel arrangements and expenses for the executive team, including flights, accommodations, and logistics. In addition to handling the booking of travel accommodations for other staff and guests as needed.
- Assist in planning and coordinating logistics for onsite events and meetings.
- Manage relationships with office vendors and service providers, ensuring high-quality service and timely deliveries.
- Oversee light procurement activities such as sourcing office supplies and reviewing vendor agreements as needed.
- Track office-related expenses and ensure adherence to budgetary guidelines.
- Assist with ad-hoc administrative tasks, including handling incoming calls, mail distribution, and scheduling.
- Maintain a welcoming atmosphere in the office and handle confidential information with discretion.
Qualifications:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Five to seven years of experience in office management, with some experience in procurement or vendor management.
- Experience with moving offices is a must. We are relocating in 2025 to a different office space, this position will be responsible for assisting with the logistics, planning and coordination of the office move.
- Proven track record in managing day-to-day office operations, including facilities and vendor relationships.
- Strong organizational and time management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using office management or procurement software.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members at all levels.
- Experience in managing travel arrangements and executive-level support is preferred.
- Attention to detail and accuracy, especially in maintaining office records and managing expenses.
- Knowledge of facility management and health/safety regulations is an asset.
- Ability to handle confidential information with discretion and professionalism.
Supervisory Responsibilities: None
Work Environment: The work environment is typical of an office setting, with occasional travel required. The employee will primarily work on a computer and may occasionally lift or move objects up to 20 pounds.
