About the team:
The Operations & People team supports the staff of BlueLabs, their work, and their clients. Operations & People at BlueLabs includes People Operations: supporting recruitment, onboarding, and the employee experience; Financial Operations: executing payroll, book-keeping, and financial planning; and broader Operational Logistics support: coordinating with corporate counsel, supporting facilities operations, and IT.
As a member of the Operations & People team, you might answer questions like:
- What is a current need at BlueLabs, and how can we build a process that addresses it?
- How can we make existing systems more efficient?
- How can I create a plan that sets BlueLabs, its staff, and its clients up for success?
As part of the Operations & People team at BlueLabs you'll be working with a passionate team of operations professionals with various work backgrounds and experiences who seek to make Blue Labs a more efficient, compliant, and positive place to work.
About the role:
The Office Manager is a key role within the company, ensuring our administrative and office functions run efficiently and meet the needs of our team. This position is required to be on-site in our office in downtown Washington, DC two to three days per week. If you love organizing, creating processes, and developing spreadsheets, we'd love to connect with you! While the Office Manager supports the entire company, it will report to the VP, Operations & People.
In this position you will:
- Be the "face" of the BlueLabs office, serving as the main point of contact for our staff, visitors, and vendors who interact with it
- Manage and own day-to-day office operations, including but not limited to:
- Budget, order, and maintain a neat inventory of snacks, drinks, and food
- Keep office common areas and conference rooms tidy and tech/supply rooms organized
- Coordinate with building staff on maintenance and upkeep of the office, ensuring that all facilities are working properly, and all vendors (i.e., red coats) have what they need to do their jobs
- Communication to relevant staff any building access changes, repairs, closures, etc.
- Coordinate tech supplies (i.e., monitors, bluetooth key boards, etc) for all incoming remote and in-person staff.
- Maintain, upkeep, and troubleshoot our virtual conference technology (Google Hangouts and Zoom Rooms)
- Regularly check and sort the mail, coordinating with remote and in-person staff to ensure timely response and action to all correspondence.
- Be responsible for answering the BlueLabs main telephone line, and coordinating with remote and in-person staff to ensure timely response and action to all relevant calls
- Managing incident response and fire alarm communication to staff, as well as drafting incident response plans
- Update Seating Chart, greet new hires as they arrive, and deliver Office Training to all new in-person staff
- Coordinate Key Fob creation and coordination with new staff and exiting staff
- Assist Director of Administration and VP, Operations in monthly credit card reconciliation
- Such other reasonable tasks as may be assigned by management.

- Proficiency with Zoom Room and Google Hangout technology
- Proficiency with Microsoft Office and Google Suite
What recruitment looks like:
We expect to onboard this position in September 2022. The successful candidate will complete up to three interviews (HR phone call, Hiring manager interview, and team/panel interview).. During the interview process, you will be asked questions to describe your background and experience relevant to the position. This may include providing examples of projects you worked on, tools or applications you've used, and knowledge you have applied. We often look for explanations of "how or why" so it's helpful to have details ready.

The salary for this position is $75,000 annually.
This position is based in our Washington, DC office. We are open to considering candidates within a commutable distance to Washington, DC, and this position will need to report to the office 2-3 days per week and may telework the remaining work days each week.
