Materialize is the streaming SQL database company that makes it easy for any developer or analyst to understand streaming data, answer complex questions and build intelligent applications using standard technology. Whether it’s delivering personalized experiences, accurately identifying fraud, building predictive AI, or discovering new business opportunities, the ability to run complex queries on multiple streams of data and keep their answers up to date is critical to making better decisions about the changing world around us.
 
We are focused on bottom-up developer adoption, our core software is free to use and source available, our business model is a cloud product that handles management of Materialize and lets businesses focus on building value. We have a vibrant developer community on Slack and as much as possible we work in public on GitHub.
 
Who We Are:
The Materialize team includes engineers who were early employees of Cockroach Labs, Flink, Dropbox, and YouTube. Our work builds on top of Timely Dataflow and Differential Dataflow, both created by our co-founder Frank McSherry, a world-leading computer scientist with decades of award-winning research in all aspects of data.

About the role

This is an opportunity to own and elevate our office experience at our NYC headquarters. The ideal Office Manager is a team player with exceptional communication and organization skills, meticulous attention to detail and creative problem-solving skills. Daily responsibilities include overseeing the administration of the office and interfacing with guests, vendors, and building management. We are looking for someone with strong experience working with teams in a fast-paced environment and the ability to create an exceptional office experience for our employees.

The impact you will have
  • Serve as the main point of contact for logistics of the NYC office – including occasional facilities issues, vendor management, catering, office supply ordering, etc
  • Walk the office daily and coordinate resolution of any facility, equipment or cleaning issues with our vendors
  • Hold our vendors accountable to a high standard of quick resolutions, functioning equipment and cleanliness
  • Personally assist with occasional time-sensitive office situations while waiting for an expert vendor to arrive and solve
  • Monitor office vendors and their work when vendors are on site
  • Proactively manage office-wide communication, and resolve and respond to all inquiries from employees, guests and vendors
  • Maintain all office keys and key duplicates
  • Prepare, receive, sort, and distribute mail/packages; schedule package pickups
  • Order and stock kitchen shelves with items requested by employee population, maintain kitchen equipment, and maintain staff refrigerators (clean out when necessary)
  • Coordinate with the Operations and People teams to assist with new hire onboarding logistics (including granting office access and purchasing necessary on-site equipment, etc.)
  • Own the NYC Office page in our company wiki
  • Supervise calendar of expected visitors through our visitor management system; you will be positioned at reception to greet and assist visitors when they arrive at the office
  • Perform other related duties as assigned or requested as well as special projects
Minimum Qualifications
  • 3+ years of office or facilities management experience 
  • Experience working with facilities vendors
  • A strong team player, who thrives in a collaborative setting and works well in a fast paced environment, poised and able to work with individuals at all levels of the organization
  • Proactive, positive and personable with excellent communication skills and an upbeat, “can do” attitude; willing to take initiative with confidence
  • Resilient, with ability to manage multiple tasks and manage competing priorities
  • Advanced proficiency with Gmail, Google Calendar, Slack, as well as key applications such as Notion, Zoom, and Asana; working knowledge of office equipment
  • Creative and committed to elevating the in-office experience through continuous office community development
  • This position is not remote and requires an individual to be in the office full time
