From your first day as an Office Manager, you will play an essential role at Bay Area News Group. This role is responsible for a variety of critical administrative tasks that keep the newsroom functioning efficiently. You will be interacting regularly with subscribers, news sources, advertisers, employees in the newsroom and senior company executives.

What you will do:
- Manage our San Jose office, including handling mail and supply orders, scheduling conference rooms, dealing with requests from and for building management, greeting visitors and other tasks as needed
- Manage newsroom expenses, tracking spending vs. plan for employee expenses, mileage, travel, meals, freelance, features and other outside services
- Maintain files and a database of newsroom contracts and handle invoices and payments
- Act as the newsroom timekeeper, making sure timecards are correctly filed and approved in a timely manner, monitoring overtime and vacation usage and accruals
- Keep and maintain inventories of company equipment
- Onboard new employees, facilitate newsroom training, scheduling sessions, completing required forms and providing regular updates on training hours and goals to managers
- Track our freelance agreements and invoices and code properly to ensure payment
- Take the lead on tracking newsroom training, filing required forms and giving regular updates on hours and goals to managers
- Handle phone calls and emails to the editor and/or general newsroom number/inbox
- Maintain the newsroom staff contact list, updating the list regularly both internally and on the Contact Us page on our websites
- Maintain a database that tracks all legal issues involving the newsroom
- Assist with emails to the corrections inbox
What you will bring:
- 2+ years of administrative or office coordinator experience
- Experience using Excel/Google Sheets, Word/Google Docs and Outlook/Gmail and the ability to master additional software programs or apps as needed
- Excellent organizational and time management skills and the ability to juggle multiple projects at a time to meet deadlines
- Self-starter who identifies problems and brings them to the attention of managers with proposed solutions
- Strong customer-service skills, including obtaining information on the issue at hand, solving the problem immediately or making sure the complaint/concern is directed to the appropriate team for resolution
- Maintains confidentiality as required
- Associates or Bachelor's degree preferred
- Experience with standard office equipment, including computer, phones, copiers required
- Experience with Microsoft Office (Word, Excel, etc.) and/or Google applications (Docs, Sheets, etc.) required
This is a fully onsite role. Must be able to commute to San Jose daily.
The hourly wage is $25.00 - $30.00. Pay is based on several factors including but not limited to education, work experience, time in role, certifications, etc. In addition to your salary, MediaNews Group offers a comprehensive benefits package, incentive and recognition program, and 401K plan (all benefits are based on eligibility).
