Job Description

POSITION OVERVIEW

The Office Manager serves as the central hub of the office, responsible for orchestrating the smooth operation of the office environment by managing the front desk and related duties. The first point of contact for visitors, clients, and team members, providing exceptional customer service and ensuring all receive a first-class experience at Stream Realty Partners. 

This role will encompass a diverse array of tasks, from managing administrative duties to fostering a positive and efficient workplace culture. This is the go-to person for both internal team members and external stakeholders, ensuring that all aspects of the office run seamlessly. A warm demeanor, excellent communication skills, and attention to detail will be instrumental in creating a welcoming and professional atmosphere.

 
RESPONSIBILITIES

  • Greet and welcome visitors in a professional and friendly manner. Coordinate with staff regarding visitor arrivals and appointments. Manage all building access for DFW HQ and validate parking, as needed.
  • Supervise and manage receptionist staff, provide guidance on duties and ensure adherence to office protocol and customer service standards.
  • Regularly rotate duties and sit at the front desk to ensure management of receptionist operations and maintaining welcoming and efficient office environment.
  • Answer and direct phone calls promptly and courteously. Provide up to date information to answering service vendor.
  • Ensure all phone calls received are answered and/or directed to the appropriate team member.
  • Handle incoming and outgoing mail, packages, and deliveries. Responsible for managing the FedEx account, creating shipment labels as needed, and invoice processing.
  • Oversee the maintenance, cleanliness, and organization of the office space, including conference room technology, appearance, and readiness for meetings. This includes restocking refreshments as needed and light catering requests.
  • Liaise with building management and/or vendors for inside suite repairs and services.
  • Manage office and breakroom supply inventory for DFW HQ, Fort Worth, and Addison satellite office. Proactively place orders to maintain appropriate stock levels. Maintain replenishment schedule.
  • Proficient in basic accounting tasks such as invoicing and expense tracking for all DFW HQ vendors. Assist with electronic filing, data entry, and document organization for corporate invoices and payments. Ensure chain of custody documentation is maintained for all checks received.
  • Assist in planning employee engagement activities and celebrations. Organize monthly recognition events and Friday office breakfast orders in alignment with budget.
  • Manage communication for building announcements, birthday announcements, and internal announcements, ensuring accurate and timely relay of information.
  • Responsible for the upkeep of office equipment, including copiers, postage machines, and printers, ensuring functionality and addressing any maintenance needs promptly. Proficiency in technology troubleshooting and familiarity with office equipment.
  • Maintain and update Stream HQ Office Manual as needed.
  • Schedule and coordinate regular headshots with new hires & vendor as needed.
  • Responsible for new hire desk set up and nameplates. 

Qualifications

  • Previous Office Manager or Office Operations experience
  • Previous call management and receptionist experience
  • Good attendance and dependability are a MUST!
  • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
  • Strong proactive skills and an ability to anticipate needs with minimal direction
  • Highly organized with strong follow-up skills and the ability to multitask
  • Strong verbal and written communication skills
  • Strong internal customer focus, especially in delivering high-quality results
  • Excellence MS Office (SharePoint, Outlook, MS Teams, Excel, Word, etc.) to include the ability to coordinate and schedule using Outlook and MS Teams
