Office Manager
Job Description
POSITION SUMMARY:
Responsible for managing the day-to-day facility functions to support the Omaha Shared Services office. This position requires a high degree of confidentiality and flexibility, as well as the ability to prioritize and initiate workflow within the department.Â
ESSENTIAL FUNCTIONS:
- Manages space planning. Ensures that the facility layout will accommodate present and future operational and space requirements
- Conducts periodic inspections of facilities, assesses problems and needs, and implements improvements in operations as appropriate
- Coordinates maintenance activities with building management
- Partner with property management to ensures that facilities are clean, well maintained, and in good repair
- Maintains database of excess furniture and equipment
- Ensures furniture, equipment, and services purchased are of acceptable quality at reasonable cost
- Manages the mailroom supervisor role and provides support as needed
- Responsible for catering, set-up and clean-up involving department meetings, employee events and other miscellaneous functions
- Coordinates lists of visitors to building security
- Manages hotel spaces for remote employees and visitors
- Assist with the preparation of presentations and other miscellaneous projects
- Generate time and expense reports, make travel arrangements, schedule appointments and meetings
- Maintain calendars, handle payment requests and provide monthly budget reports
- Other various administrative responsibilities and projects, as necessary
- Maintain confidential and sensitive information
- Must be able to lift 50 pounds, bend, lift and climb.
- Regular and reliable attendance is required.
- Ability to work onsite in an office environment with limited remote work alternatives, consistent with applicable law.
EDUCATION, SKILLS AND EXPERIENCE REQUIREMENTS:
- High school diploma or equivalent
- Bachelor’s Degree in Business Administration/Real Estate or equivalent work experience
- Five years experience in facilities or property management
- Strong knowledge of commercial real estate leases
- Excellent oral and written communication skill required
- Exceptional negotiation and leadership skills
- Technical skills in Microsoft Excel, Word, and PowerPoint
- Ability to work independently with multitasking ability
- Professional manner and approach to all level of employees
- Ability to flex schedule as business needs arise
