We are seeking an Office Manager to join our New York team! In this role, you will play a pivotal role in fostering a collaborative and welcoming atmosphere and acting as the face of Intenseye for our employees and visitors. You’ll ensure that our office operations are running smoothly and will act as the main point of contact for all office queries.

The role:

  • Employee and Visitor Experience:
  • Ensure a welcoming environment for visitors and clients, setting a high standard for employee and visitor experience in the office.
  • Handle employee inquiries as they come in, proactively anticipate needs and provide solutions in a timely and professional manner.
  • Assisting with the on-boarding of new employees leading to a high impact first week experience at intenseye
  • Management of general office tasks - coordinating lunches, distributing mail, office pantry, etc.
  • Assist with people related tasks such as interviews, employee welcome procedures, onboarding and offboarding employees
  • Create equity and effectiveness in a distributed working environment for a strong sense of belonging, wellbeing and inclusion

  • Events and Culture Focus
  • Plan and coordinate company events end-to-end, from small meetings to large corporate gatherings, ensuring successful rollout of logistical and tactical operations.
  • Plan and execute internal company events, including team building activities, offsites, happy hours, wellbeing activities and other social events.
  • Own and manage logistics, including but not limited to venue selection, vendor negotiation, and event budgeting.
  • Take initiative in overseeing the execution of company-wide programs and initiatives.

  • Office Safety & Management:
  • Develop and implement office policies to ensure a safe, secure and culturally aligned work environment.
  • Oversee facility management, including space planning, maintenance, and office improvements.
  • Ensure compliance with health and safety regulations.
  • Own all communications to NY office employees on office events, changes, and operations.

  • Vendor Management:
  • Establish and maintain strong working relationships with vendors and service providers.
  • Negotiate contracts and manage vendor performance to ensure quality and cost-efficiency.
  • Order, monitor, and track company spending and supplies (including laptops, monitors, etc.)

  • Collaboration with Internal Stakeholders:
  • Able to partner closely with various departments as subject matter expert and advisor for in-office needs.
  • Collaborate closely with the Operations team on employee experience projects and programs.
  • Maintain a clean, organized, and welcoming office environment.
  • Assist with Executive Assistant responsibilities on an adhoc basis with the Founders and Executive Team
  • Assist the administrative needs of the Executive team when in NYC, making travel arrangements, coordinating meetings, and other assistance as needed

Sound Like You?

  • Minimum of 3 years experience managing an office of circa x50 employees
  • Demonstrated track record in effective facility management, event planning, and vendor relations
  • Passion for designing and leading culture focused events and driving team engagement and fostering team camaraderie
  • Ability to work independently with minimal direction from leadership
  • Exceptional organizational, communication, and interpersonal skills
  • Ability to balance multiple priorities simultaneously and proactively manage projects to completion
  • Understanding of OSHA requirements to uphold office safety and employee health
  • Industry experience within the Software, Technology, or Start-up spaces are highly preferred.
  • Must be willing to work from our NYC office x3-5 days per week
