Role

We are seeking a highly organized and proactive Office Manager to oversee the smooth operation of our office environment. As the Office Manager, you will be responsible for managing administrative tasks, coordinating office activities, and providing support to employees. Your role will be essential in ensuring the efficient functioning of our office and creating a positive work environment.

Who you are
  • BA/BS Degree
  • Strong organizational and multitasking skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in office software tools (e.g., MS Office, spreadsheets, database management).
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and accuracy.
  • Problem-solving and decision-making abilities.
  • Ability to work independently and collaboratively in a team environment.
  • Knowledge of basic accounting principles is a plus.
  • Must be in-office at HQ in Palo Alto 5 days a week.
Key Knowledge & Skills
  • Responsibilities:

    1. Administrative Management:
      • Develop and implement office policies and procedures to ensure smooth operations.
      • Maintain and organize office files, records, and documents.
      • Manage office supply inventory, order necessary materials, and maintain appropriate stock levels.
      • Prepare and distribute internal communications, memos, and announcements.
    2. Facility Management:
      • Oversee maintenance and repair activities, ensuring the office is clean, safe, and well-maintained.
      • Liaise with vendors, contractors, and suppliers for office-related services and equipment.
      • Manage office equipment and technology, including computers, printers, and phone systems.
      • Address any facility issues promptly and efficiently.
    3. Human Resources Support:
      • Assist with collecting, cleaning, and resetting laptops
    4. Financial Administration:
      • Monitor and manage office budgets, including expenses, invoices, and purchase orders.
      • Coordinate with the finance department for expense tracking and reporting.
    5. Office Communication and Collaboration:
      • Serve as a point of contact between employees, management, and external stakeholders.
      • Support internal communication initiatives, including staff announcements.
      • Facilitate effective communication channels within the office, ensuring timely and accurate dissemination of information.

The standard base salary range for this position is $60,000 - $100,000 annually. Compensation offered will be determined by factors such as location, level, job-related knowledge, skills, and experience. Certain roles may be eligible for variable compensation, equity, and benefits.
