Job Description

Clario, a leader in endpoint data technology solutions for the clinical research industry, is expanding its operations in Budapest and is seeking an Office Manager.

In this role, you will be responsible for site-level oversight of facility needs, events leadership, and health and safety requirements.

What you'll be doing

  • Primary contact for building and office issues.

  • Entry card / badge management.

  • Office vendor management (dishwasher, coffee machines, cleaning, building management, etc.).

  • Ordering & oversight of all office supplies.

  • Basic kitchen maintenance on a daily basis (refilling and ordering consumed products).

  • Follow up the inventory, restock stationary.

  • Manage company mail.

  • Manage parcel delivery.

  • Record contracts belonging to the company. Filing and forwarding invoices received for payment.

  • Support and organize events in the office. (For example: lunch and learn sessions, catering management).

  • Be member of the Employee Engagement Team.

  • Close communication with IT and HR teams.

  • Assistance to IT regarding device returns.

  • Create and maintain Clario Budapest Office Guide.

  • Operation of office parking / workspace reservation system.

  • Performing fire and workplace safety duties in the office with the help of a vendor.

  • Sending online fire and workplace safety tests, tracking the tests performed.

  • Providing fire and workplace safety information for new joiners.

  • Assist with document processing while demonstrating a high degree of confidentiality for sensitive company, customer, and personnel information.

  • First point of contact for visitors.

What we look for

  • High school degree or bachelorโ€™s degree or relevant work experience in office management.

  • 2-3 years of experience in office management.

  • Native Hungarian and fluency in English is a must.

  • Excellent communication skills and the ability to work well with others.

  • Strong problem solving, communication and presentation skills.

  • Well organized and confident to work independently.

  • Advanced MS Office skills including Word, Excel, PowerPoint and MS Forms are required.

  • Strong detail oriented.

  • Must be able to multi-task.

  • Ability to maintain professional and positive attitude.
