Office Manager & Senior Administrative Assistant (Hybrid) - Bellevue, WA
Job Description
The Office Manager & Senior Administrative Assistant is responsible for a wide range of duties, from managing the local Bellevue office, organization and administrative needs, decor, and aesthetics to ownership of local event coordination. This includes coordinating on and offsite office events. You will work closely with the HR, Finance, IT, and Legal teams in addition to building management and external vendors.
Assisting the People/Human Resources and Legal teams with administrative needs including supporting up to two executives with calendar management, email, project work, expense reports, and other duties.
The nature of the role requires the individual to be available to come into the Bellevue office on average three days a week or as meetings and events require. The remainder of the time has the option to be remote.
This role reports to the Director, People Experience.
What You'll Do
Office Management:
- Manages all facilities needs for Identity Digital's Bellevue office, implementing and maintaining office systems and procedures (evaluate and innovate). Maintains the overall aesthetics and organization of the office.
- Acts as primary liaison between the company and office building management (e.g., repairs, janitorial, safety, building code compliance, parking etc.) Builds effective partnerships with vendors, contractors, and team members.
- Manages incoming and outgoing mail and packages including national or international destinations which can include taking the items to a shipping vendor offsite.
- Oversees space planning and office supply purchasing as well as desk move logistics and ergonomics.
- Manages food/snack program overseeing lunch vendors, stocks the kitchen and other key supplies.
- Maintains office files and records as well as offsite file storage and shredding compliance.
- Ensures visibility and ownership of the office and building matters (walking the floor and inspecting for health and safety issues, printer stations are up to date, general housekeeping and required COVID standards are in place).
Senior Administrative Support:
- Provides support to two or more C-level executives and may include email and calendar management, expense reporting, and meeting logistics as needed. This will vary depending on the executive and is not full-time support.
- Coordinates national and international travel for multiple trips per year including hotel, flight, and visa coordinator as needed.
- Manages international mailings of sensitive data.
- Provides support to the People/HR and Legal team including project work as needed.
- Acts as backup to support the CEO's Executive Assistant.
Event Coordination:
- Schedules and manages logistics of large onsite team meetings, ex: onsite All Hands which may include catering, etc.
- Owns events planning for Bellevue office on and offsite events including idea generation, research, quoting, planning, communications, and execution of the event, ex: annual holiday event and summer bbq.
- Schedules and oversees various team-specific events for leaders across the organization as needed.
- Works with People Team and other groups as necessary, oversees the planning & execution of team-building events, holiday parties, and other activities.
- Partners with the internal Corporate Social Responsibility Committee and Morale Committee to execute events if needed.
Other duties as assigned.
Who You Are / What You Bring
- High School or equivalent diploma and 5+ years' experience providing office management and/or senior administrative support.
- High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company.
- Experience managing office logistics and space planning.
- Experience planning and coordinating multiple events per year independently.
- Ability to handle multifaceted administrative details independently, work with little direction or supervision and handle oneself in a professional manner in all forms of communication and situations.
- Ability to work in a fast-paced environment on a hybrid basis.
- Strong organization, communication, and problem-solving skills.
- Excellent written and verbal skills.
- Positive, proactive, diplomatic, very detail oriented and driven to succeed.
- A terrific work ethic accompanied by an ever-positive, get-it-done attitude.
- Sound judgment and flexibility in balancing competing priorities.
- Experience with Google Suite and Concur expense system preferred.
- Ability to work outside core business hours as needed.
Salary Range
The U.S. base salary range for this full-time position is hourly at $35.10 - $37.50, plus benefits as described below. In addition, the successful candidate will be eligible to receive other compensation from time to time in the form of discretionary and/or nondiscretionary bonuses and long-term incentive plan. Actual compensation will be influenced by a candidate's qualifications, internal employee equity considerations, and location. We will not ask for information about a candidate's current or past compensation for purposes of developing an offer of employment.
US Employees (and their spouses, domestic partners and/or dependent children) are covered by generously subsidized medical, dental, and vision insurance. Employees are also covered by company-paid life and disability insurance and have the option of participating in employee-paid supplemental life, accidental death and dismemberment, critical illness and accident insurance. In addition, employees are able to enroll in the company's matching 401(k) retirement plan. Employees will also annually receive 20 days of paid vacation, 5 days of paid sick leave, 13 paid holidays, and 8 weeks of paid parental leave. Employees will also have the opportunity to receive tuition reimbursement for qualifying tuition and education-related expenses.
