Job Summary
Connetics Onboarding Specialist is a point of contact for the international healthcare professionals (HCP) from their visa issuance to until after they have been totally acclimated, assimilated, and acculturated into their new professional and personal environment. Onboarding Specialist performs a variety of tasks including all facets of onboarding, entering and maintaining accurate data, crafting communications and collaborations with healthcare professionals, facility, and community resources.
Success measures include adherence to onboarding policies, HCP satisfaction score, and meeting targeted onboarding timelines.
Essential Job Functions
- Introduces and schedules an 'intro-call' to the healthcare professional via email within 24 hours of being assigned by the Case Specialist
- Schedules the 'Initial Call-Intro' via Booking and sends a 'pre-arrival' questionnaire to be completed by the HCP prior to the intro-call
- Documents information in Odoo by logging notes, uploads completed pre-arrival questionnaire, updates statuses
- Provides information on the intro-call to the healthcare professional regarding their facility, travel guidelines, housing information, and answer any questions
- Updates essential information in Odoo like resignation period, unit assignments, nick names, number of dependents etc.
- Changes the status in Odoo Pipeline from 'Initial Call-Intro' to 'Pending Arrival'
- Adds the HCP to WhatsApp and Facebook groups and introduces to Buddies
- After intro call, send ONE SINGLE complete email: Email Body containing full travel instructions and expectations of the nurse. Attach Circle of Support, first 30 -Days in the USA, Facility Fact File and any additional resources pertaining to the area or facility.
- Confirms travel plans at least 1- month prior to travel and updates Odoo 'Pipeline' with Arrival date and Est. Start date
- Updates Odoo 'Candidate' fields and uploads itinerary in notes
- Introduces the Community Liaison (CL) and provides contact details, pick up time at the airport and drop off at the temporary accommodation
- Communicates with relocation team to secure temporary housing for nurse on arrival
- Provides a list of relocation tasks and addresses and contact information to the CL and HCP
- Keeps the facility informed of the arrival details and any other relevant information, and updates Odoo with the Start Date
- Communicates with nurse on arrival and congratulates and welcomes them to USA
- Follows up, serves as a guide and a mentor and is a liaison for the HCP and the facility ensuring HCP has completed the pre-arrival job requisition application and has the orientation schedule from facility
- Tracks the completion of relocation tasks, issuance of SSN and perm-licensure
- Updates Odoo 'Pipeline' status from 'Pending Arrival' to 'US-Arrived for weekly follow ups and changes the Immigration Status from 'Visa Issued' to 'US Arrived'
- Ensures nurse feels safe and settled in her new apartment and unit
- Updates USA contact number, SSN status, License endorsement status
- Reconfirms the start date with the facility at least 7 days prior to start date
- Update Odoo "Pipeline" Status "US Arrived" to "Started- Weekly"
- After 4 weeks at facility updates Odoo "Pipeline" Status to "Started- Bi-monthly"
- After 8 weeks at facility updates Odoo "Pipeline" Status to "Started- Monthly"
- After 12 weeks at the facility updates Odoo "Pipeline" Status to "Started- 3 Months" and assigns to Angel Network coordinator for him/her to send Connetics Angel Network invitation
- Regular messages sent through Twilio for first 3-months and calls should be made if/where additional support is required
- Research local community resources to build Circle of Support for new clients
- Attend Welcome and Workforce calls with the assigned nurses and facilities
Other Functions
- Collaborates with facility HR and Onboarding team and moderates the 'Welcome Call' with the facility HCP before their arrival
- Collaborates with Community Liaison and other resources to add to the circle of support
- Researches and maintains a list of temporary and permanent housing for nurses, builds collaborative relationships with leasing offices
- Organizers, prioritizes, and balances multiple tasks and adheres to established deadlines
Education
- Bachelor's Degree | Preferred
Minimum Work Experience
- Proficiency in Microsoft Office
- 1+ year of experience in a customer service role.

Pay Rate
$17.25 - $20.50 Hourly
Final pay rate is dependent on experience, training, education, and location.
