We have an opportunity at our corporate offices in Chicago for a Online Services Coordinator on our Publishing and Mission Operations team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.
As a Online Services Coordinator you will contribute to the vitality, growth, andfinancial viability of the American Medical Association by efficiently andeconomically handling the Online/Digital business processes servingadvertisements across the JAMA Network platforms while maintaining the highest qualityservice for authors, editors and customers. Workclosely with online supervisor and outside vendors to support core business andrevenue growth while meeting approved standards and guidelines withinestablished schedules and priorities.
RESPONSIBILITIES:
- Under moderate supervision, perform day to dayonline/digital advertising business duties including insertion order entry,report generation, and securing online materials while working closely withsales managers, agencies, and advertisers. Works closely, and communicates effectively,with ad trafficker, pharmaceutical companies, advertising agencies, onlinesales staff, vendors, and all levels of AMA management and staff to ensure themonitoring and proper execution of all online/digital advertising campaignswhile balancing sometimes competing priorities and projects from AMAunits. Assists advertisers directly byhelping to resolve technical problems and answer questions on creativematerials.
- Maintains accurate records of customer billingand collection efforts. Works closelywith publishing management, Finance, Sales, and online sales customers toensure proper cash flow to the Association. Reviews all past due billing accounts and performs soft collections onall accounts 61 days or more past due.
- Serves as backup coordinator for monthlyinvoicing of Display and Classified advertising placements. Conduct thorough billing review includingorder entry detail confirmation, serving data review and identify specialclient requirements. Work as liaisonbetween Ad Server, Ad Trafficker, Agencies, and clients to resolve all online/digitalbilling discrepancies within the required timeline to meet all financialdeadlines. Transmit relevant billingdata and files to AMA Finance.
- Provides recommendations on process improvement,product enhancements and developing business trends.
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree or one to three years experience in a fast paced publishing, customer service, or business environment required.
- Excellent verbal communication and interpersonal skills required including strong listening skills and experience communicating with customers, sales staff, vendors, and all levels of management.
- Demonstrated excellent multi tasking skills.
- Must be computer literate, with proven ability to learn and adapt to a variety of systems and software including Lawson, MSG, Microsoft Word, Microsoft Excel, web based software, e-mail, etc. In addition, must understand production and technical information and be able to convey it to customers in non-technical terms.
- Have a working knowledge of online/digital advertising technologies including Ad Servers (Google/DFP) and website/banner design.
- High level of online analytical, problem-solving, and decision-making skills as well as technical troubleshooting experience needed.
- Demonstrated ability to uphold high quality standards and attention to detail.
- Strong organization and prioritization skills required, including demonstrated ability to balance competing internal priorities.
- Must react quickly, calmly, and with sound judgment to customer requests and complaints.
- Must have ability to handle stress in an ever-changing, fast paced environment.
- Works with minimal supervision. Requires an independent worker with team spirit.
- Strong understanding of financial reporting and analysis.
- Overtime may be required.
