Operational Administrator

The Operational Administrator will be responsible for following up on bunker deliveries and handling the documentation relating to this. The Operational Administrator will also check/facilitate deliveries with agents/suppliers to make sure they go ahead as smoothly as possible. This then releases capacity in the team by handling the related paperwork and arrangements and to trouble shoot the initial problems which come up.

Key Responsibilities:

• Understanding of how the shipping industry works
• Analytical skills needed can involve taking info from Suppliers and Agents and tracking this on spreadsheets – co-ordination of the Ops Update
• Ability to read trends and quickly respond to and anticipate problems and act, accordingly , sort out issues and think on their feet, the team will sort but they are frontline in terms of what is going on
• Very important to keep track of contract nominations, are contract terms being met
• Handle a moderate admin workload in addition to the tasks already mentioned
• Work with internal teams to get the required documents and with Customers for the VAT declarations
• Work with the Finance Team to get all invoicing issues sorted and ensure all paperwork is completed and submitted
• Receive and process in-coming mail

PERSON SPECIFICATION (BACKGROUND AND SKILLS):

• 1-2 yrs. shipping or logistics background required up to 4-5 yrs. is desirable
• Someone from a Shipping College in Rotterdam is highly preferred or from an oil and gas logistics background
• English proficiency required and Dutch proficiency is desirable
• A strong , robust communicator who is assertive as needed
• Available as needed to get the job done outside of usual office hrs ( 15-10% of the time at most)
• High energy person who can think and act quickly , ability to read situations and people well
