Operations Associate

SUMMARY:


The Operations Associate will be responsible for assisting in the day-to-day operation of the Operation department’s business process activities, as well as ensuring that Enrollment Advising & Student Success call center operations are supported. This individual will research and execute strategic initiatives to improve operations for university partners. Duties performed range from a low to high degree of complexity and require flexibility and willingness to perform at these multiple task levels.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists day -to-day operations including:
    • CRM set-up, maintenance, and system admin duties
      • New partner set-up
      • Advisor personas
      • AWS email verification
      • Twilio set-up
      • Business reporting needs
      • Internal support
      • Assist with quality assurance
      • Work closely with DEV team towards operational enhancements
    • Phone, Chat, SMS, and Appointment Scheduling Platforms
      • New advisor or partner set-up/creation
      • Maintenance and management
      • Business use reports
      • Quality Assurance
      • Internal Support
    • Manage start date/application deadline process
    • Create, update, and manage pages on internal wiki collaboration
    • Cloud content maintenance for partner folders, file conversion and upload, and quality assurance
    • Manage new program launch operations and daily operations tasks in project management software
    • Compile and coordinate accepted students’ welcome kits with vendor
    • Weekly lead uploads into CRM that originate from partners or vendors
  • Provides employee technology and software set-up and changes as needed, interfacing closely with internal and partner IT colleagues 
  • Support partner operation calls and identify business rules and processes to enhance the student experience resulting in a process workflow document
  • Support Project Management team by assisting with ad hoc requests, project documentation, timeline and project board management 
  • Submits projects and tasks every week using time tracking software
  • Performs other duties as assigned.

EDUCATION and EXPERIENCE an equivalent combination of education, training and experience will be considered.

  • Bachelor’s degree required
  • 1-3 years of experience in higher education operations management or similar field
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint), particularly Excel formulas and macros
  • Experience with Google Suite, particularly Google Calendar, Docs, Sheets and Gmail
  • Detail oriented with excellent time management and organizational skills
  • Professional communication skills
  • Strong interpersonal skills
  • Project Management experience a plus, but not required
