Job Description

Diversified Communications is seeking an Operations Coordinator to join our growing company! Our Operations team is the department responsible for coordinating and planning the logistical aspects of Diversified's trade shows and conferences; as the Operations Coordinator, you will have responsibility for coordinating, assisting with and providing logistical support on assigned events, as well as serving as a point person for exhibitor's logistical and compliance questions. As an Operations Coordinator, you will work collaboratively with other team members, and will directly assist the Operations Leads on assigned events to ensure a successful experience. Our Operations Coordinators interacts with all levels of personnel both internally, externally, and on event site - it's a dynamic role!

Key Responsibilities will include:

  • Coordinate, update, compile and organize the online exhibitor manual in Exhibitor Resource Center.
  • Assist the Operations Lead with the production and organization of the staging guide for assigned events.
  • Answer exhibitor inquiries in a timely and pleasant manner.
  • Coordinate show shipments with the shipping vendor and applicable internal departments.
  • Review and approve exhibitor booth designs.
  • Interact with outside vendors to assist the Operations Lead with set up of event as well as updating vendors on listings of exhibitors.
  • Travel to event to assist and liaison with Operations Lead with floor management duties, event set up/tear down, and troubleshooting exhibitor issues as they arise.
  • Maintain database of Exhibitor Appointed Contractors and responsible for correspondence to each contractor for assigned event.
  • Interact with employees individually and in team situations to advance the needs of each event.
  • Other duties may be assigned on an as needed basis.


We are seeking a candidate who has demonstrated experience in event management/planning, is able to proactively manage multiple projects on tight deadlines, and is seeking a collaborative team environment. Our team is customer focused and this role requires superior and professional communication skills along with the ability to navigate a variety of situations with diplomacy and a calm demeanor. Foreign language is a plus! Travel will be required (COVID vaccine required) and may include international travel.
