Who we are:
As a nonprofit organization Evolve provides highly specialized coaching services to more than 250 college students, job seekers, and artists each year in the Pittsburgh region. Evolve offers arts and film programming as an accessible and meaningful avenue to connect to the world through an annual summer arts camp, year-round workshops, and ongoing outreach, support, and resources to neurodiverse artists. Evolve also works with community groups, employers, schools, and universities to offer inclusion training and workshops to raise awareness of neurodiversity and remedy institutional oppression.

Who we seek:
The Operations Director will report to the Executive Director and play a central role in managing the day-to-day operations of the organization with primary responsibility of general administration, business planning, budget, staff onboarding, performance optimization, and development of processes and procedures. A successful candidate will have previously managed operations, enjoys working with people, is highly organized and detailed-oriented, maintains calm and poise in a fast-paced environment, and is mission-driven to support individuals with disabilities. This is an in-person, onsite position.
What you will do:
- Oversee and manage all areas of administration and program operations at Evolve; effectively manage resources.
- Collaborate with leadership to create and drive operational strategy and manage performance metrics.
- Collaborate with Program Directors to design, manage, and continually improve the operations. Work closely with the program teams to ensure all internal policies and external regulatory standards are being met on a consistent basis.
- Maximize efficiency and productivity through workflow analysis and productivity management. Analyze current processes, recommend solutions for improvement when necessary.
- Analyze program and staff performance through productivity data, financial data, and activity reports. Communicate productivity goals to staff and monitor staff workload/progress throughout the year.
- Alert leaders and staff of productivity levels. Encourage staff to meet performance metrics; provide mentorship, coaching, and recognition to staff. Determine labor needs and assign clients, as needed.
- Motivate and encourage staff to meet performance metrics. Assign clients, when needed, track productivity levels, and resolve issues. Identify staff training needs and provide opportunities for ongoing staff development. Collaborate with supervisor to identify resources to meet those needs.
- Perform payroll and manage the benefit administration. Assist with budget and annual reporting preparation. Assist in staff recruitment and onboarding. Develop and update the Evolve operations manual and policies.
- Ensure compliance with safety and staff regulations, including but not limited to, workers compensation, staff clearances, client data collection and storage, and general liability insurance.
- Manage relationships with suppliers and providers as needed, such as office suppliers and memberships, property owners, cleaning companies, etc.
- Oversee third-party contractors and consultants, including but not limited to accountants, bookkeepers, HR consultants, and specialty consultants. Supports the HR function by providing employees with guidance and ensuring compliance with company policies, as well as applicable employment laws.
What you will need:
- Bachelorās degree in business, Finance, or related field, required. Advanced degree preferred. Relevant experience may be substituted for education.
- Minimum 3 years of operations management experience.
- Prefer 5-7 years of experience in a healthcare provider space; however, alternative backgrounds that demonstrate a similar experience will be considered.
- Require people management experience, preferably teams of 8-10 or more people.
- Working knowledge of IT/Business infrastructure, hardware, software (MS Office, Google Suite) and other online tools. Adept at quickly mastering new systems and technology.Ā
- Working knowledge of nonprofit finance/accounting and regulations; familiarity with Salesforce database preferred but not required.
- Excellent verbal and written communication skills. Able to develop relationships with coworkers, business partners and colleagues.Ā Builds trust, honors commitments and treats all with respect.Ā
- Detail-oriented, organized, motivated, meticulous, practical & flexible. Able to effectively handle multiple and shifting priorities and maintain professional composure.
- Able to work independently and as part of a team. Able to resolve issues, manage conflict exercise good judgement, and be a creative problem solver.
- Superior analytical, comprehension, and creative problems solving skills.
The work environment:
- Ability to work onsite in an office environment.
- Ability to operate standard office/computer equipment.
- Travel at least 10% to sites beyond the company office.
Salary Range:Ā $50,000 to $57,000
