About the role:

Reporting into the Managing Director of Whalar Talent this is an amazing opportunity to create and develop the internal systems and infrastructure of a growing roster and business for all of the Whalar Influencer Talent managers.

As the Operations Manager you will be responsible for working with all internal business units. You will be working closely with the Managing Director of Whalar Talent who oversees the managers and the roster. You will work closely with Business Affairs and Finance to ensure our managers are empowered to continue to build business for their clients. You will identify areas of process improvement. You should be able to understand the entertainment industry inner workings for payments, contracts, commissions and commission splits.  Strong candidates will understand the bigger picture of the wider industry, while also being granular, detail-oriented and persistent in achieving results.

Here’s what you’ll do day-to-day:

  • Be a business partner across multiple departments and stakeholders in finance, business affairs and within the (Influencer) Talent team.
  • Liaise closely with the finance department and Talent managers to ensure correct financial information is being provided for invoicing;  minimize credit requests and corrections.   
  • Partner closely on collection efforts with the finance manager and brands on invoices that are overdue.
  • Review all the deals and contracts that are input in our CRM database (Pipedrive) for completion and accuracy
  • Ensure correct talent payments are being made via entering it accurately into our internal Whalar platform; make any subsequent adjustments as needed in the system.
  • Become an expert in utilizing Whalar systems and tools such as Pipedrive & Whalar Platform (Echo)
  • Be an expert at our global talent roster.
  • To help grow the learning and development of the managers and assistants of Whalar Talent.
  • You should be able to run monthly reporting per manager.
  • You should be able to work with key external business partners and vendors.
  • Handle internal and external commercial contracts for talent 
  • Be able to learn our internal proprietary software and systems to ensure it is reflecting the needs of the managers.
  • Project manage new processes. 
  • Simultaneously manage multiple projects and staff.
  • Have key knowledge and contacts within the digital & entertainment spaces, including Networks, key partners such as talent & advertising agencies.
  • Be able to interact with talent, attorney’s and business managers.

Here’s what we’re looking for:

  • Balance of commercial acumen and a creative mindset
  • Proven record of understanding the business and financial models of the representation business. 
  • Fluent understanding of marketing, with a focus on digital advertising and/or PR
  • Detail-oriented and highly organized
  • Excellent written and verbal communication skills
  • Have a good understanding of commercial contracts 
  • Experience of working in a fast-paced environment, managing multiple projects and stakeholders simultaneously 
  • Great interpersonal skills, able to forge strong relationships with people of all levels (internally & externally)  
  • Fun, people person who has a favorite type of TikTok (BookTok, CleanTok, etc).
  • Fluency in Excel, Google Sheets, and strong understanding of accounting terms, financials and operations
  • Being very responsive and organized in managing emails/slacks under high volume requiring quick turnaround.

The salary range for this role is $70,000 - $75,000
