Operations Specialist - Remote
Job Description
The Operations Specialist provides clerical, administrative and communication support for the Ornish Lifestyle Medicine Team. As an essential front-line member of the Program delivery team, the operations specialist is responsible for actively engaging potential and enrolled participants and stakeholders with excellent customer service skills. This position requires the ability to perform multiple tasks with excellent organizational and computer skills in a busy virtual office setting.
Essential Job Functions:
* Work with the Director, Ornish Lifestyle Medicine Program, physicians, and clinical team to achieve program objectives and enhance clinical outcomes and customer satisfaction.
* Support the Director, Ornish Lifestyle Medicine Program, in the development and implementation of the virtual Ornish Lifestyle Medicine program.
* Develop relationship with and act as liaison to Patient Management vendor, Care Tracks.
* Supports Patient Management team, CareTracks, as needed, to manage program inquiries, potential participant processes, and billing/reimbursement/insurance management processes.
* Functions as the primary point of contact for all participant and clinical team communications.
* Schedules and coordinates participant eligibility screening, program enrollment, program onboarding, and intake assessments between participant and clinical team.
* Creates participant record, converts participant to patient chart, and uploads participant medical records into DiaWeb platform.
* Assists with the collection and secure storage process of participant medical records in compliance with Sharecare Quality Assurance and National standards.
* Coordinates program materials to be sent to participant (Participant education, Empower access, Monitoring equipment, meals).
* Monitors virtual delivery of program during live- sessions to support participants clinical team with technical issues, fielding questions, etc.
* Generates participant reports and distributes to internal and external teams.
* Responsible for following up with participants and customers.
* Coordinates administrative and clinical staff meetings, conference calls and Program events
* Operationally supports and participates as a member of the collaborative clinical delivery team
* Contributes to a high level of participant satisfaction
* Complies with HIPAA privacy laws and ensures patient confidentiality
* Performs other duties as directed
Specific Skills/ Attributes:
* Excellent computer skills and entry-level experience with information system technology
* Demonstrates an ability and willingness to become knowledgeable of the components and the philosophical underpinnings of the Ornish Lifestyle Medicine in order to convey accurate information when managing Program inquiries
* Exemplary interpersonal and customer service skills
* Excellent organizational skills
* Knowledgeable in medical terminology
* Exhibits sensitivity to the needs of participants
* Desire and ability to work in a patient-centered, team-oriented environment
Requirements
Qualifications:
* Current CPR or BLS certification
