Job Summary
Be apart of this rewarding opportunity at Alliant Energy! In this role you will provide high level administrative support for one or more people, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the company's operations, procedures, and people. Ensuring smooth and effective office operations by performing work that is highly varied and generally administrative across the IPL Operations organization. Handling confidential matters with discretion. Acting as a resource for leaders and employees, having a breadth of knowledge in multiple subjects. Hold strong communication, interpersonal, administrative skills and a broad understanding of company operations, procedures, and personnel. Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs, or tables.
- Work hours: 7:00am-3:30pm
- May be required to work outside of regular work hours on occasion
- Travel may be required
What you will do
- Coordinates business travel arrangements, including itinerary, registration, transportation, and accommodations
- Arranges and coordinates internal and external meetings and trainings. Assists in arranging access, scheduling and coordinating training for both new and current employees on various business procedures and systems.
- Processes invoices, vouchers, requisitions, expense reports and completes credit card reconciliations
- Supports IPL Operations involvement with the community, media and government representatives and coordinates the involvement of outside activities.
- Supports safety initiatives by regularly inspecting fire extinguishers, scheduling and assisting with safety trainings as needed, maintaining MSDS inventory sheets, coordinating with community fire marshal, monitoring safety surveillance cameras, and proctoring safety exams. May assist with required audit and data requests as directed. Maintains knowledge of safety, business continuity, and environmental action plans, and emergency communication procedures.
- Corresponds and maintains positive and effective relationships with internal personnel, outside agencies, vendors, and other organizations. Maintains knowledge of the responsibilities of IPL Operations and an elevated level of integrity due to the confidential and sensitive nature of the centralized position. Handles a variety of information requests
- Relieves the business group of advanced administrative detail to provide business unit effectiveness and efficiency to leverage their time. Develops and/or maintains complex computer applications, including documents, forms, spreadsheets, charts, graphics, presentations, and databases. Establishes and maintains business records. Provide back-up administrative support to other business groups.
- Monitors inventory of office supplies and basic equipment for the office and coordinates restocking procedures as requested.
- Supports the consistent operations of IPL Operations based on company policy and procedure guidelines. Develops and/or maintains basic computer applications, including documents, forms, spreadsheets, charts, graphics, and presentations. May be responsible to track, maintain and monitor operations files, contracts and documentation in compliance with regulatory requirements and assist with required audit and data requests as directed.
- Assists IPL Operations to achieve company financial goals by scrutinizing expenditures for errors and/or identifying avenues to reduce expenses. May process invoices, vouchers, requisitions, and expense reports for supervisor and office employees. May monitor business group performance against budgets and work with financial analysts to review business group expenditures and financial outlooks.
- Develops and/or maintains moderately complex computer applications, including documents, forms, spreadsheets, charts, graphics, and presentations, and databases. Establishes and maintains supervisor and/or business group filing system for business records. May provide back-up administrative support to other business groups or company executives.
- Performs special projects as assigned, including coordinating, preparing and assisting with reports and summary information, including operating reports and strategic plans, assisting with budgets, and the research and compilation of information. Provides summary information and recommendations for solutions and/or improvements to existing procedures when appropriate.
- Processes confidential information and documents and handles confidential matters with discretion. Makes decisions using initiative and judgement for matters requiring attention in the absence of the supervisor to ensure the correct others are involved to resolve situations. Completes sensitive tasks directly for IPL Operations on a regular basis.
- Plans and schedules day-to-day activities for IPL Operations, while prioritizing and tracking requests, both verbal and written. Maintains continuously evolving schedule for accuracy and priority.
Education Requirements
- Associate Degree Administrative Support or related area Preferred
Required Experience
- 3 years of experience in clerical, word processing, or administrative support.
- Experience supporting multiple business groups
Knowledge, Skills, and Abilities
- Demonstrated effective interpersonal, verbal, and written communication skills.
- Knowledge of utility operations, safety, and energy industry terminology preferred.
- Knowledge of bargaining unit contracts and terminology preferred.
- Demonstrated intermediate to advanced proficiency in the use of office equipment and computer software (Word, Excel, PowerPoint, Outlook). Intermediate to advanced knowledge of internet web browsers. Knowledge of Microsoft SharePoint preferred. Knowledge of Adobe Acrobat (PDF) software preferred.
- Ability to handle confidential matters discreetly.
- Intermediate to advanced proficiency in grammar, spelling, punctuation, proofreading.
- Ability to perform accurately and effectively in a timely manner.
- Effective planning and organizational skills.
- Ability to carry out duties with minimal supervision.
- Ability to work effectively in a diverse and inclusive work environment.
