The Optimization Manager is responsible for the efficiency and effectiveness of the business processes in the areas they support. The individual in this role will be responsible for documenting and flowcharting as-is processes that will vary in size and scope, designing future processes, and for process excellence in the areas they support. This role keeps all employees in the areas they support up to date on new changes in policy, procedure or the platform. This is a forward-thinking position and the ideal candidate should always be looking for ways their areas can be made stronger and more effective.
Responsibilities:
- Be fluent in KnowBe4 documentation and know how it should be followed; If a policy or a procedure for the area problem doesn’t exist, develop a policy and/or procedure, send it through the approval workflow, pilot its implementation, and track successÂ
- Ensure employees in the areas they support are onboarded; Â Once all training and internship is completed (as applicable), identify and resolve any deficiencies in their knowledge base
- Must have accuracy in locating gaps in understanding and work to resolve them
- Act as a subject matter expert on Knowbe4 Policies and ProceduresÂ
- Ensure that any new procedures are read and understood by all employees
- Monitor pilot and existing procedures, processes and workflows to ensure utilization and success
- Have total ownership over assigned projects from start to finish, including following up and working with stakeholders and leaders on their assigned project stepsÂ
- Keep up to date on the all Objectives and Key Results and Projects of KnowBe4 HQ
- Improve organizational workflows in your designated area
- Propose and develop long-term workflow changes, implement and monitor their function
- Map current business processes at various levels of detail, from higher level down to task levelÂ
- Design future business processes at various levels of detail, from higher level down to task
- Write detailed process documentation, gaining agreement and approval from leadership, and coordinating publishing live Facilitate in implementing major new projects that are being initiated in the area you service
- Provide genuine recommendations as to the firing, promotion, and discipline of employees in the area you service
- Conduct surveys in your area to identify gaps or deficiencies in workflows and processesÂ
- Recommend  improvements for efficiency and effectiveness using workflow diagrams, forms and procedural documentation
- Receive alerts about process/workflow issues from the areas you support, and digs in to find root cause, and recommend or implement resolutionÂ
- Utilize gap analysis to identify barriers to hyper growth and propose and implement programs for improvement
- Be available to answer any policy or procedure questions related to the KnowBe4 processes (as needed)Â
Qualifications:
- High School Diploma or GED required, or equivalent working experience
- Lean Six Sigma a plus
- Process mapping/modeling experience a plusÂ
- BPMS (Business Process Management Software) experience a plus Â
- Technical writing experience a plusÂ
- Have demonstrated work experience in developing new employeesÂ
- Experience with Gmail and Google Docs
- Experience with MS Office (Word and Excel)
- Experience with web browsers (Chrome, Internet Explorer)
- Ability to identify and process the correct organizational sequence for workflows to increase efficiency
- Ability to simplify information down to its fundamentals for dissemination organization wide
- Ability to do gap analyses to identify gaps and inefficienciesÂ
- Ability to see and determine proper orders of priority
- Strong verbal and written communications
- Ability to bridge gaps between teams across the organization
- Able to build successful working relationships with other team members
- Excellent time management and organization skills
- Excellent organizational skills
- Strong ability in coaching and training others
- Must have great understanding of company structure and function
- Can manage multiple people in different areas to carry out a project that affects both areas
- Excellent ability to analyze statistical data
- Ability to write programs for use cases
