Job Description

Overview:

Reporting to the VP of Operations, the Order Management Specialist - Distributor and OEM owns the accurate and timely validation, input, confirmation, and management of customer orders. It requires significant interaction with both Distributor and OEM customers and our sales, supply chain and finance teams. Works cross functionally within Beko to resolve any customer issues.

Duties and Responsibilities:

  • Process and confirm customer orders and manage order changes and cancellations
  • Ensure all orders are processed and confirmed on timely basis
  • Confirm production planning with demand planning
  • Confirm customer shipments with logistics
  • Validation of customer pricing and products
  • Issue customer credits
  • Process customer returns and replacement orders
  • Manage invoicing process for Distributors and OEM customers.
  • Share documents with customers such as invoices, packing list and seaway bills regarding container deliveries
  • Track and trace production plans, shipments, container arrivals, and ETA to customers
  • Provide daily support and information to sales and marketing teams regarding orders, shipments, allocations, and inventory
  • Follow purchase orders through to completion, working with appropriate parties to quickly resolve issues that delay timely processing
  • Effectively manage and prioritize a stream of emails containing orders, information requests and customer inquiries
  • Communicate with Distributors and OEM customers with all aspects relating to an order
  • Works with Finance, Supply Chain and Logistics teams to resolve issues with credit, inventory availability or shipments
  • Readily adapt to changes as the company's business needs evolve

Qualifications:

  • High school diploma or equivalent required, Bachelor's Degree preferred
  • Minimum 3-5 years of inside sales or order management experience
  • Strong working knowledge of SAP
  • Advanced Microsoft Office (especially Excel, Word, PowerPoint) is needed; proficiency in Outlook is also required
  • Decision-making, problem-solving skills, ability to drive communication between all cross functional teams is needed
  • Strong knowledge of data analysis and operations metrics is needed
  • Ability to multi-task and handle multiple priorities in a challenging, fast-paced environment is needed
  • Must have strong negotiation, organizational skills, and extreme attention to detail.
  • This may be a hybrid position so must be able to manage working from home or an off-site location and be able to structure the workday, manage time effectively, and work efficiently with minimal supervision
