Responsibilities

The OSPA Associate Specialist actively communicates and presents pertinent information to various audiences and serves as a liaison between OSPA staff and investigators, study staff, others through the Mayo system and external parties with respect to research, grant, budget and contract matters. Responsible for coordination and management of OSPA Operations agendas and meeting documentation. Responsible for tracking and reviewing institutional notifications from Mayo institutional committees and departments (e.g. Institutional Review Board, Institutional Animal Care and Use Committee, Office of Clinical Trials, Legal Contracts Administration and Research Finance) for determination of appropriate action. Responsible for obtaining, preparing, providing guidance and editing various grant documents including documentation within MIRIS Grants and Contracts system. Generates communications to external parties including submission of grant documents or related information. Ensures procedures, grant resources and other OSPA documents are up-to-date by tracking and revising OSPA procedures, guidelines, quick reference guides, templates and forms as needed. Performs ad hoc projects as needed to support OSPA Operations or grant activities for the research community. Maintains competency in applicable regulations, multiple external funding agency requirements, policies and procedures.

Qualifications

An Associate's degree in business, management, healthcare or related program or 4 years' experience in business, research administration or grants. Prefer one year of experience working in a regulated environment. Mayo Clinic Quality Academy Bronze certification or comparable Quality or Lean methodology certification preferred. Must possess excellent problem-solving skills, oral and written communication and interpersonal skills, and be comfortable interacting with individuals at all levels internal and external to Mayo Clinic.
