Description Summary: The Payroll and Benefits Administrator is responsible for full cycle payroll and benefits administration as well as other related areas of HR administration.
Essential Duties:
The duties listed below are the essential functions of this position, and they may change as the needs of the company demand. All associates are expected to do what is necessary to get the work done and to cooperate fully with their supervisor’s requests for additional or altered duties.
- Executes the day-to-day administration of all HR functions related to benefits and payroll, as well as other areas as assigned.
- May train and task the HR Administrative Assistant in day-to-day duties.
- Collects, analyzes, prepares and inputs payroll data for a bi-weekly, multi-state payroll for 200+ employees using the designated payroll system to produce accurate and timely payroll.
- Maintains current knowledge of and ensures compliance with all applicable state and federal wage and hour laws.
- Sets up accounts and handles any tax notices for new or existing states where M3 employs staff.
- Prepares bi-weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, reviews due, tax deductions, benefit deductions, etc.) as needed for management.
- Prepares 401k deposits, file uploads and downloads, reporting and other associated duties.
- Responsible for verifying new hire data in the payroll system as well as updating records, terminations and any other employee changes to payroll.
- Responsible for entering and verifying new hire data in the various benefits systems as well as updating records, terminations and any other employee changes to benefits.
- Answers employee questions pertaining to paychecks and deductions, changes etc. as needed in a positive, helpful manner.
- Track bonus payments, calculate and present them to the President and CHRO, or other designated executive team member, for final approval before entering into payroll.
- Tracks terminations and sends the needed termination emails as well as completing the monthly turnover report.
- Runs special payrolls as needed.
- May perform account reconciliations and provide general ledger support to the Corporate Finance department pertaining to payroll and benefits.
- Handles annual open enrollment process.
- Hosts benefits orientation for new hires as needed.
- Liaison with payroll and benefits vendors.
- Prepares reports for vendors as needed for benefits renewal.
- Under the supervision of the CHRO, completes any yearly audits related to payroll & benefits such as the 401k audit, Health 5500 audit, SOC audit, and workers compensation audit.
- Reconciles or oversees reconciliation of benefits bills as well as completing any self-billing responsibilities prior to payment by AP.
- Researches payroll, benefits and other related issues.
- Assists CHRO with policy management and interpretation as well as various form submittal for FMLA, ADA, Tuition Reimbursement, Jury Duty, Bereavement Leave etc.
- Facilitates management and employee understanding of payroll procedures.
- Other duties as assigned, bearing in mind that duties, responsibilities and activities may change at any time with or without notice.
Education/Training/Experience:
- A minimum of 1-2 years of payroll and benefits administration required; 3-5 years of payroll and benefits administration experience highly preferred.
- Bachelor‘s Degree in Business with a focus on Accounting or HR strongly preferred, or possibly an equivalent combination of education and related experience.
- FPP or CPP Payroll certification, preferred.
- Must have strong math skills, high detail orientation, excellent accuracy and ability to research and reconcile numerical issues related to payroll.
- Prior experience using Kronos HRIS and its report writer, preferred.
- This is a full-time position, and requires regular and punctual attendance, Monday through Friday.
- This position requires the ability to work in an office setting, sitting at a computer workstation, with the ability to work the majority of the day using the computer, telephone and basic office equipment.
- This position requires professionalism, the highest degree of confidentiality, sound judgment and discretion.
- This position requires excellent interpersonal skills with the ability to communicate articulately using professionally written and spoken English.
- Work experience in a Technical, Engineering, or Professional Services firm preferred.
- Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint).
- Excel skills must be advanced.
- Experience handling the complete payroll function.
- Must be able to build and maintain positive business relationships with co-workers and other business contacts.
- Prior experience supervising others preferred.
Physical Requirements:
- Ability to sit and/or stand for extended periods.
- Ability to perform work on a computer for extended periods.
- Ability to work in the office regularly, or pivot to working at home should emergency situations arise.
- Ability to travel occasionally representing the company’s interests.
- Ability to attend work per assigned schedule and attend meetings with excellent attendance and punctuality.
- Able to present training in a business setting.
- Ability to bend and lift up to 25 lbs.
