Payroll and HRIS Manager

Reporting to the Sr. Director People Operations, the Manager, HRIS, Payroll and Analytics manages HR systems and evaluates HR technology and processes in support of HR activities. This is a hands-on role that includes actual processing of our US semi-monthly payrolls and the coordination of international payrolls with third party providers. The role works closely with other internal teams such as Information Technology, Accounting, Finance and Legal. The position also supports data requests for analytics to be used in the analysis and planning for company initiatives or reporting. This hybrid role needs to be based out of the Denver, Colorado metro area, and will be in the office 1 day a week.
Responsibilities
Payroll
- Process semi-monthly payroll for US hourly and salaried employees including reviewing and importing hours from time and attendance system and administering adjustments to pay as necessary.
- Analyze and improve processes and policies to ensure accurate and timely processing of payroll as well as compliance with regulatory guidelines.
- Responsible for payroll quality controls ensuring internal control over payroll processes and support of audit requests as required.
- Reconcile payrolls to other relevant insurance invoices.
- Responsible for following the audit procedures to ensure accuracy of payroll records and efficiency of overall operations.
- Establish and maintain a collaborative partnership with internal and external customers.
- Maintain awareness of government regulations affecting payroll procedures. Responsible for compiling statistics, working with auditors and HR staff as required, and preparing required government reports.
- Review and approve employee-initiated changes to tax withholdings and direct deposit accounts.
- Coordinate monthly sales commission process and payments.
- Process garnishments and child support orders as applicable.
- Process special payrolls for involuntary terminations, 3rd party sick pay, severance payments, and pay statement corrections.
- Ensure all payroll tax amendments are filed correctly by payroll vendor.
- Review all tax notices received from various taxing authorities and work with payroll vendor to resolve underpayment notices.
- Work with payroll vendor on new state and local tax set up and administration including any tax and/or employee and employer contribution set up as it relates to family, medical and disability state specific laws.
- Assist with annual audits and reporting, including but not limited to the company’s: financial audits, worker’s compensation, EEO-1 and 401k retirement plan.
- Responsible for the administration and funding for the employee and employer payroll 401(k) contributions and HSA and FSA employee contributions with the applicable benefit vendors. Assist with specific reporting as it relates to the payroll contributions.
- Support employees and answer timely any inquiries as they relate to payroll, payroll taxes, W2s and paid time off.
HRIS
- Implement and maintain payroll best practices to improve efficiency and consult with human resources team to improve HRIS processes.
- Evaluate and implement payroll/HRIS systems upgrades and changes.
- Maintain employee records in payroll, time & labor, and HRIS systems.
- Administer the time off policies for all employees.
- Produce scheduled and ad-hoc reports pertaining to payroll and human resources requirements.
- Prepare reports from the HRIS involving payroll information, performance management, demographic data, and other employee data, requiring knowledge of the various Human Resources disciplines.
- Audit data integrity in systems by running queries and analyzing data and reviewing source documents for accuracy and completion of data input.
- Generate files/reports for benefits plans, annual reports, PTO accrual, as well as other special and ad hoc reports as requested.
- Recommend and, where appropriate, lead business process improvements having an HRIS component.
- Assist with and help administer other programs and processes in Paylocity such as annual performance reviews, total rewards statements, onboarding module as well as provide support on the annual merit and bonus cycles and process.
Requirements (Knowledge, Skills And Abilities)
- Bachelor’s degree (or equivalent related experience) and minimum of five (5) years of related Payroll and HRIS administration experience.
- Experience in payroll processing for a multi-state company.
- Experience with international payrolls is highly beneficial.
- High proficiency in HRIS database administration.
- PHR/SHRM certification a plus, but not required.
- Certified Payroll Professional (CPP) certification a plus.
- Strong understanding of Human Resources processes and terminology, payroll and benefit processes and procedures.
- Must have strong knowledge of a variety of computer software applications including payroll, benefits, time & attendance and HRIS and self-service systems. Experience with Paylocity a plus.
- Knowledge and understanding of multi-state payroll laws and compliance issues.
- Knowledge of federal and state payroll tax regulations (i.e. labor legislation, FLSA, ERISA, COBRA, ACA, Worker’s Compensation and FMLA).
- Excellent time management skills including demonstrated ability to respond quickly and accurately to requests for data, ability to provide excellent customer service a must.
- Must have a high level of interpersonal skills to handle sensitive and confidential situations.
- Demonstrates exceptional analytical skills and ability to create useful and actionable reports from data.
- Possess strong written and verbal communications skills.
- Ability to manage multiple, high priority items and adjust to shifting priorities while meeting deadlines.
- Strong attention to detail and ability to edit and proofread.
- Possess a creative outlook with a problem-solving attitude.
- Proven ability to collaborate and work successfully in a team environment.
We are committed to fair and equitable compensation practices. This position is also remote-friendly and, as such, compensation will ultimately be in line with the location in which the position is filled. Final compensation for this role will be determined by various factors such as education, experience, knowledge, skills, and abilities of the candidate, and alignment with market data and geographic location.
