SUMMARY OF RESPONSIBILITIES

Under limited supervision, the Payroll Manager will manage, oversee and perform payroll activities for all FirstKey Homes’ team members located in disperse geographic markets. This role will process biweekly payroll, respond to team member questions and requests, maintain payroll system data integrity and manage data/reporting requests. Additionally, they will recommend and develop payroll system processes, identify and implement system efficiencies, and support special projects related to payroll activities.  They will also serve as an integral member of the Total Rewards team with input and possible oversight of other areas such as compensation, benefits, HRIS, etc., depending on the candidate.

ESSENTIAL DUTIES

  • Process multi-state payroll for salaried and hourly team members on a biweekly basis in a timely manner including all pay types, expense reimbursements and time entry adjustments. Address team member and manager questions, investigate and resolve system issues, escalate matters when necessary. Plans, organizes, supervises, coordinates, monitors and troubleshoots the payroll processing function.
  • Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions. Ensure that team member compensation information is paid correctly, and records maintained. Manage workflows to ensure all team member requests and payroll transactions such as base salary adjustments, promotions, bonuses, short-term and long-term incentives, overtime and other changes or payments are processed timely.
  • Prepares and maintains accurate records and reports of payroll transactions. Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.  Prepares, coordinates and manages month end close, year-end close outs financial statements, cash flow statements, budgets, and other periodic reports such as monthly expense variance analysis. Prepares and transmits State and federal quarterly and annual reports (e.g. IRS Form 941, W-2's, UI).
  • Provide support and guidance to all FirstKey Homes’ team members regarding payroll activities, systems and processing.
  • Manage pre-payroll activities by importing team member data files, coordinating with system vendor to create dashboards, and scanning system to identify efficiencies that can enhance payroll operations.
  • Collaborate with internal teams (Finance, Treasury, Legal) and external partners (payroll, 401K and other vendors) to ensure timely, accurate and compliant payroll processing.
  • Maintain system integrity by regularly reviewing payroll reports and team member rosters for active and terminated team member data. Ensure records are properly maintained in accordance to records retention policies and legal requirements.
  • Manage requests for generating reports, pulling data and analyzing compensation data as requested by business leaders.
  • Manage Year-End procedures to ensure proper distribution of W-2s, Federal and State tax filing information and other activities for active and terminated team members.
  • Open to managing/supporting other disciplines within HR such as compensation, benefits, HRIS, etc.
  • Develop and document payroll system processes. Evaluate and update processes to ensure they remain current with organizational operations. Assist in establishing and implementing policies pertaining to the payroll function.
  • Perform full supervisory activities including performance review, discipline, and making hiring and selection recommendations to ensure the payroll function is fully staffed. Provide technical support, training, and general backup for payroll operations; plan, prioritize, assign, and supervise the work of the payroll staff.

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Human Resources, Business, Finance or equivalent work experience and/or education
  • Minimum 6 years progressive experience in a payroll or similar role (compensation, benefits, HRIS, etc.)
  • Strong proficiency using UKG (UltiPro/Ultimate) or similar HRIS payroll software as a superuser
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and related software.

PREFERRED EDUCATION AND EXPERIENCE

  • Experience with UKG/UltiPro/Ultimate payroll module
  • Pursuing or currently has an active Certified Payroll Professional (CPP)
  • Experience working in a fast pace, high-growth company.
  • Demonstrated proficiency in other disciplines of Human Resources such as compensation, benefits, HRIS, etc.
