About the Job

The Payroll Manager is responsible for overseeing payroll procedures, interpreting state-specific payroll policies and regulations, and managing the overall activities of payroll. The role liaises between employees, management, the People Team, and the third-party vendor for payroll to ensure all FMI employees are paid correctly and on time. The manager also reviews and approves payroll prepared by a third-party service provider for employees located outside the U.S. The manager is expected to collaborate closely with the People Team in pursuit of an exceptional employee experience.

Key Responsibilities

  • Build upon existing payroll processes to further mitigate risk and create efficiencies.
  • Build upon existing timekeeping processes to increase accuracy of timecards and ensure timely receipt of timecard information.
  • Execute accurate and timely processing of bi-weekly exempt and non-exempt payroll using ADP Workforce Now.
  • Manage payroll communications, including mass communications and interactions with employees of all levels and departments with detailed source information.
  • Provide exceptional customer service to employees, including oversight of timely responses to employee inquiries to the Payroll team's shared inbox.
  • Problem solve a higher complexity of payroll issues that are escalated from employees or direct reports.
  • Supervise, train, and provide professional coaching and development to the Payroll Administrator(s), and complete all related hiring and transition management as needed.
  • Drive process discipline within Payroll and with key stakeholders, including consistent enforcement of deadlines.
  • Update and review employee and payroll records in ADP, including:
    • New hires and terminations;
    • Compensation changes;
    • Banking changes;
    • Tax changes;
    • Benefit deduction changes; and,
    • Any other miscellaneous changes.
  • Coordinate with our 401(k) provider and facilitate timely deposits into participant accounts.
  • Ensure appropriate treatment of employee compensation for employees on leaves of absence.
  • Process the payroll and tax implications of equity awards.
  • Assist with preparation for annual 401k audits.
  • Assist in maintaining an effective internal control environment.
  • Generate reports on an as needed basis, most frequently in collaboration with the People Team.
  • Manage accurate vacation and sick leave accrual information as needed.
  • Process accurate and timely year-end reports, such as employee W-2s.
  • Administer accurate withholding status and maintain these records.
  • Verify compliance with state and federal payroll compliance on a quarterly basis and maintain awareness of payroll-related regulations and changes.

Qualifications

Basic Qualifications

  • Bachelor's Degree in Accounting, Finance, Business or related discipline
  • 5+ years of experience with Payroll, including 3+ years of management experience

Preferred Qualifications

  • Master's of Business Administration, Human Resources Management or related discipline
  • Certified Payroll Professional or similar certification
  • Expertise with ADP Workforce Now and Reporting
  • Knowledge of payroll-related state and federal law and regulations
  • Advanced proficiency in Microsoft Excel
  • Proficiency in Microsoft Word and Outlook
  • Strong time management and organizational skills
  • Strong problem-solving skills
  • Excellent organizational and time management skills
  • Demonstrated ability to be detail oriented with a history of highly accurate work
  • Demonstrated ability to exercise sound judgment and use discretion
  • Understanding of the importance of confidentiality as it pertains to sensitive employee and company information, and ability to maintain confidentiality
  • Understanding of HIPAA and importance of privacy of patient data
