The Ritz-Carlton Yacht Collection seeks an experienced Payroll Manager.
Job Summary
The Payroll Manager is part of the Human Resources team and will manage the payroll function of multiple global business units operating in the US, Malta, Monaco, Italy and France, while collaborating within the HR function and across the Accounting and Treasury departments to ensure efficient and accurate payroll processing.
Essential Functions
This position carries out responsibilities in the following functional areas:
- Processing, balancing, computing, documenting, and reconciling payroll data within the respective payroll systems and outsourced payroll providers, working with the accounting team, as well as processing taxes and other deductions.
- Ensure compliance with applicable laws and payroll tax obligations.
- Reconcile payroll data with the accounting system including accruals, advances, benefits costs, bonuses, etc.
- Responsible for processing the payroll-related journal entries; the analysis and reconciliation of payroll liability accounts; and supporting month-end close activities
- Overseeing and reviewing payroll payments and account reconciliations.
- Ensuring records and processes comply with company and legal regulations.
- Coordinating within HR and Accounting to verify employee data and accounts.
- Maintaining accurate account balances and detailed records for auditing.
- Managing and resolving any issues related to payroll.
- Preparing reports and financial statements.
- Set up employee tax jurisdiction for multiple state and local tax.
- Set up payroll processes in new countries as we expand operations internationally.
- Respond to employee inquiries concerning payroll ensuring high customer satisfaction.
- Document and enhance payroll processes and procedures and manage internal controls.
- Ensure that all monthly, quarterly, and annual payroll tax filings are met; ensure all local statutory payroll and fringe benefit reporting requirements are met.
- Support various internal and external audits, domestic and international as needed.
- Lead significant systems and process changes in the payroll function. Support the HR team in the implementation of an HRIS system, including integration to US and international payroll systems.
- Coordinate payroll funding requests with Accounting/Treasury departments.
- Liaise with auditors and manage payroll tax audits.
- Management of administrative documentation, including employee payroll records, new hire payroll documentation, federal and state compliance.
- Collaborate with key partners throughout the organization to ensure accurate recording of all payroll input.
- Responsible for reconciling all year end forms and filings for all regions to ensure accurate entry of all compensation transactions (i.e. gifts, prizes, education assistance, equity, etc.).
- Effective, accurate and timely completion of all assigned month-end responsibilities such as reporting, master sheet expense reporting, payroll master sheet of summaries and flux analysis.
- Maintains knowledge of trends, best practices, regulatory changes, and new technologies for payroll.
- Performs other duties and supports the AVP, Human Resources with budgeting and reporting, as necessary.

Competency
Education: Bachelor's degree in Accounting, Finance, or Business Administration required.
Experience: Five plus years of previous experience in payroll processing or accounting. CPP, CPM accreditation is a plus. Global payroll experience a plus.
Skills:
- Highly analytical and excellent problem-solving skills with working knowledge of general payroll protocols, accounting principles and relevant legal regulations.
- Strong proficiency in Microsoft Office and payroll software, such as Ultipro, SAP Success Factors, or Workday.
- Have the technical knowledge and experience to be able to satisfactorily achieve the specific duties outlined above. Understand the accounting and tax implications from a payment level to the general ledger level.
- Prompt and courteous customer service to all employee levels.
- Strong analytical, research, problem solving and evaluative thinking skills.
- Well-developed sense of urgency and follow-through; able to meet tight deadlines.
- Ability to multitask and stay organized in a fast-paced environment.
- High-functioning, working knowledge of relevant payroll related standards, codes, GAAP, regulations and other related requirements.
- Excellent written and verbal communication skills.
- Meticulous attention to detail and organized.
Work Environment
Works in a hybrid/typical office environment with quiet-to-moderate noise generated by computer printer, fax machine and light traffic. Traveling may be required.
Physical Demands
Requires sitting, standing, walking, bending, and reaching. May require lifting or pushing up to 25 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone, and other office equipment.
Expected Hours of Work
The position is fulltime and frequently requires working additional time outside of normal business hours.
