PharmaCann, Inc. owns and operates best-in-class production facilities and retail dispensaries for cannabis-based products. We currently operate in the States of Illinois, New York, Massachusetts, Ohio, Pennsylvania, Maryland, Colorado and Michigan as a medical and/or adult use cannabis provider to patients and customers. We are looking for energetic, results-driven individuals to join our rapidly growing team and industry.

As a Payroll Specialist at Pharmacann USA, you will be responsible for executing many aspects of the payroll process. This includes ensuring accurate and timely payment to employees, compliance with federal and state regulations, and maintaining payroll records. You will work closely with HR, finance, and other departments to handle payroll-related inquiries and resolve issues.

  • Payroll Processing: Administer and process bi-weekly/weekly payroll, including calculating wages, deductions, and bonuses. Ensure accurate and timely distribution of paychecks via direct deposit or checks.
  • Compliance: Stay up-to-date with federal, state, and local payroll regulations and ensure compliance. Prepare and submit payroll tax reports and filings, including W-2s, 1099s, and quarterly tax returns.
  • Data Management: Maintain and update employee payroll records, including new hires, terminations, and changes in compensation. Ensure accuracy of timekeeping records and handle adjustments as needed.
  • Reporting: Generate and analyze payroll reports, including summary reports and statistical data. Provide insights and recommendations for process improvements based on analysis.
  • Customer Service: Address employee inquiries regarding payroll issues, including discrepancies, deductions, and tax-related questions. Provide exceptional customer service and resolve issues promptly.
  • System Management: Manage and troubleshoot payroll software and systems. Collaborate with IT and vendors to address system issues and implement updates or upgrades.
  • Audit and Reconciliation: Perform regular audits of payroll data to ensure accuracy. Reconcile payroll discrepancies and work with accounting to ensure proper financial reporting.
  • Confidentiality: Handle sensitive employee information with the utmost confidentiality and integrity.

Duties and responsibilities or Essential Functions

  • Associate’s degree in Accounting, Finance, Human Resources, or a related field; Bachelor’s degree preferred.
  • Experience: Minimum of 5 years of experience in payroll processing or a related field. Experience with Wurk is highly desirable.
  • Skills: Strong understanding of payroll regulations and compliance. Proficiency in MS Office Suite (Excel, Word, Outlook) and payroll software. Excellent attention to detail and organizational skills. Strong problem-solving abilities and effective communication skills.
  • Certifications: Payroll certification (e.g., CPP, FPC) preferred but not required.
  • Working Conditions:
  • Environment: Office setting with occasional remote work options. May require occasional overtime during peak payroll periods.
  • Physical Requirements: Ability to sit for extended periods, use a computer, and handle administrative tasks.
