In conjunction with the Payroll & Reporting Analyst, the Payroll Specialist is responsible for supporting the multi-state payroll processing for the enterprise. This position will be the first point of contact for any inquires related to payroll. The Payroll Specialist will be responsible for the full payroll cycle including; inputting and processing bi-weekly payroll for multiple companies (Coverys and Med-IQ) and supporting all post payroll efforts while ensuring a high degree of confidentiality as well as accuracy, integrity and timeliness. This role will serve as the main point of contact for all levels of employees and management with regards to payroll inquiries.
Essential Duties & Responsibilities
- Exercise discretion and independent judgment with respect to matters that pertain to multi-state payroll processing decisions by applying policies set forth by management and/or department operating practices.
- Compile, verify and enter payroll & HCM data into system for multiple companies and multiple states.
- Verify the accuracy of calculated wages, exemptions, insurance coverages, deductions, garnishments and adjustments and correct errors as necessary.
- Maintain time and attendance system.
- Ensure the input of new hires, transfers, promotions and terminations are accurate, timely, and aligned with payroll processing.
- Manage all direct deposit errors.
- Establish new states for payroll taxes and set up and maintain applicable payroll codes.
- Respond to state agency inquiries and reconcile any discrepancies or reporting requirements.
- Manages payroll tax administration. Responsible for liaising with the payroll vendor or the state/local jurisdictions directly to troubleshoot any tax related issues.
- Performs quarterly and annual tax audits and reconciliations.
- Ensure that payroll related data feeds, both external and internal are completed accurately and timely.
- Review and ensure the mapping of 401K contributions and ER match in payroll system.
- Respond to employment verifications and processes unemployment claims.
- Responsible for maintaining the records for payroll and personnel file data in the company's electronic records system.
- File quarterly workers compensation reports for monopolistic states and maintain proper records of filings.
- Complete all payroll related surveys.
- Supports on-boarding and off-boarding processes as related to payroll and HCM.
- Responsible for any wage garnishments and support orders in compliance with federal and state requirements.
- Provides support to the annual payroll and workers compensation audits.
- Annually review and reconcile W-2s.
- Write and structure internal communications for special projects as necessary.
- Provide research, reporting, and analytical support as requested.
Education, Requirements & Competencies
- College degree preferred; 2-4 years of experience of payroll processing required.
- Experience with Workday payroll processing required.
- Experience with ADP SmartCompliance and tax administration desired, but not required.
- Payroll certification a plus.
- Experience with or knowledge of multi-state pay practices, labor laws, tax rules and benefit impacts.
- Customer service focus and ability to support and communicate with all levels of the organization.
- Intermediate to advanced knowledge of Microsoft Word, Excel, and Power Point required.
- Ability to maintain a high level of confidentiality and trustworthiness.
- Strong attention to detail and time management skills.
- A team spirit and cooperative attitude, professional and pleasant demeanor.
- Excellent organizational skills and attention to detail.
- Ability to work independently and be self-motivated. This position has structured deadlines that must be consistently met.
- High level knowledge of payroll best practices and policies.
Salary Range is $ 64,000-$86000. Individual compensation packages are based on a variety of factors that are unique to each candidate including location, skill set, experience, qualifications and education.
