Job Overview

We are seeking a skilled and detail-oriented Payroll Specialist with experience in state tax filing and accounts payable to join our Finance team. The Payroll Specialist will be responsible for payroll processing, including ensuring compliance with state-specific tax regulations, as well as overseeing accounts payable functions. The ideal candidate has a strong background in payroll processing, comprehensive knowledge of state tax laws, and expertise in accounts payable procedures. This role requires a high level of accuracy, attention to detail, and the ability to handle confidential information.

This is a remote work position.

Responsibilities

Payroll Processing

  • Assist with end-to-end payroll processing, working closely with HR to verify timekeeping information, wages, deductions, and withholdings.
  • Ensure accurate and timely processing of payroll transactions in compliance with applicable laws, regulations, and company policies.
  • Generate payroll reports, analyze data, and resolve any discrepancies or errors.

State Tax Filing

  • Maintain up-to-date knowledge of state tax regulations, including income tax rates, withholding requirements, filing deadlines, and reporting obligations.
  • Ensure accurate and timely filing of state payroll tax returns and payments.
  • Collaborate with internal and external stakeholders to address any state tax-related inquiries or issues.

Accounts Payable

  • Process accounts payable transactions, including verifying invoices, matching purchase orders, and preparing payment requests.
  • Ensure accuracy of vendor invoices, resolve discrepancies, and maintain appropriate documentation.
  • Collaborate with vendors and internal teams to resolve payment inquiries and address any issues.

Compliance and Reporting

  • Ensure compliance with federal, state, and local regulations related to payroll and accounts payable.
  • Prepare and distribute payroll-related reports to internal stakeholders as needed.
  • Assist in the preparation of financial statements and reports related to accounts payable.

Systems and Process Improvement

  • Utilize payroll software and accounting systems effectively and efficiently.
  • Identify opportunities for process improvement and automation, and contribute to system enhancements and implementations.

Collaboration and Communication

  • Collaborate with HR, finance, and other departments to ensure accurate and timely payroll and accounts payable processing.
  • Communicate with employees and vendors regarding payroll-related inquiries or payment issues in a professional and timely manner.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Minimum 5 years of experience in payroll processing, state tax filing, and accounts payable.
  • Comprehensive knowledge of state-specific tax laws, regulations, and filing requirements.
  • Proficiency in using payroll software and accounting systems. Experience with ADP and Intacct is a plus.
  • Strong analytical skills and attention to detail to identify and resolve discrepancies.
  • Excellent organizational and time management skills to meet deadlines in a fast-paced environment.
  • Solid understanding of accounting principles and practices.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong communication and interpersonal skills to effectively collaborate with cross-functional teams.
  • Proficiency in Microsoft Office suite, particularly Excel.
  • Relevant certifications such as Certified Payroll Professional (CPP) or Certified Accounts Payable Professional (CAPP) are desirable but not required.
