Job Description

This role is work from home (WFH), but the ideal candidate will be within driving distance of our corporate office in downtown Cleveland, OH, and able to travel to our office approximately once each week.

Summary

The Payroll Specialist is responsible for all aspects of the daily operations of the payroll function.

Responsibilities
  • Processes payroll for all employees on a timely basis and reviews to ensure accuracy.
  • Reviews and audits timecards in the timekeeping system.
  • Processes withholding orders.
  • Calculates special payroll checks routinely and/or on-demand (e.g., termination pay, severance, etc.).
  • Solicits, collects, reviews, reconciles applicable information to ensure all necessary items are captured in each payroll run (e.g., expense reimbursements, commission payments, employee status changes, etc.).
  • Prepares reports by compiling summaries of earnings, taxes, deductions, benefits, nontaxable wages, etc., as needed; collaborates with Finance and Accounting and other business leaders to produce reports as requested.
  • Assists staff with general questions related to payroll, benefit deductions, and other pay-related issues.
  • Collects data and maintains accurate payroll records; assures general ledger accounts are reconciled; reconciles payroll deposits, tax withholdings, wage garnishments, and voluntary deductions.
  • Participates in problem solving and special projects within the Payroll Department.
  • As a member of the HR Department, collaborates with team members to ensure timely updates to HRIS records, such as terminations, changes in job title, benefit elections, compensation changes, department transfers, etc.; contributes to HR's mission to provide high-touch service to Asurint team members.
  • Manages vendors and outside service providers effectively; sets expectations and holds them accountable.
  • Other duties as required.


Requirements

  • Experience administering payroll in a corporate, multi-state environment is required.
  • Experience compiling reports on payroll, personnel information, deductions, research, producing special reports, and ad-hoc payroll reports is required.
  • Experience ensuring compliance with all applicable tax, wage, labor, and employment laws is required.
  • Experience with payroll policies and procedures and complying with federal, state, and local agencies is required.
  • Experience with the legal/court system is preferred.
  • Experience with background screening is preferred.
  • Proficiency in MS Office [Outlook, Excel, Word] or similar software is required. Relevant business management systems such as general ledger, HRIS, CRM, etc., are preferred. Payroll and HRIS system experience is required, Paylocity experience is preferred.
  • Education: Bachelor's degree in Business Administration or related field is required.
  • Certifications or licensure: Certified Payroll Professional is preferred. Driver's license and ability to maintain a driving record that is satisfactory to the Company's liability insurance carrier is required.
  • Years of relevant experience: 2 to 5 years is preferred.

Working Conditions
  • The work environment involves everyday risks or discomforts that require normal safety precautions typical of offices, which includes the need for general safe workplace practices with office equipment and computers, avoidance of trips and falls, and observance of fire regulations.
  • The noise level in the work environment is usually quiet to moderate.
  • This position is performed in an office setting although off-site meetings in various settings occur.
  • The schedule is generally normal business hours although there is a requirement to perform work, attend meetings and events before or after normal workings hours, and occasionally on weekends and evenings.
  • Some travel by personal automobile and a valid driver's license is required. Occasional overnight travel is required.
  • Lift light objects [less than 20 pounds] and carry them short distances [20 feet or less].
