Payroll and Wellness Specialist
To provide support and direction on Payroll-related processes and issues and lend support to the Sr. Benefits Specialist. Handle day-to-day first-line Payroll & Benefits related questions and issues to ensure accurate processing and recording of the company's payroll. Provide timely and accurate payroll-related data to the finance team, participate in daily data entry, and administer 401K and HSA benefits-related processes.
Key Responsibilities
Payroll
- Manage workflow (new hires, terminations, and employee change of status) to ensure all are processed accurately and timely.
- Administer and ensure proper taxation of payroll earnings and deduction codes.
- Process garnishment calculations and ensure compliance with state and federal codes.
- Coordinate STD benefits for payroll.
- Process data entry for multi-state payroll under strict deadlines while ensuring all entries and system outputs comply with all state and federal laws.
- Process biweekly multi-state payrolls for approximately 500+ employees.
- Process state and local agency registrations.
- Coordinate with UKG (UltiPro) on state filings.
- Review payroll inputs from various internal sources, to ensure accurate payroll processing for multiple payrolls.
- Work with the HR team to aggregate employee data relating to new hires, terminations & bonus payments during each pay period to accurately process payroll for that period. ACH Returns.
- Assist employees with online changes to taxes and direct deposit in UKG (Ultipro).
- Audit Pay Period employee file changes/actions for correct pay and Audit current payroll processes to reduce the number of payroll-related errors.
- Provide biweekly reporting to management teams with ad-hoc reporting requests.
- Other Pay Data entries (manual) - severance, retro pay, vacation payout, adjustments, ad hoc pays.
- Process status changes, tax changes, deductions including garnishments/tax levies, direct deposits, computing and processing timesheet data, retroactive adjustments, and special pays
- Load special pay import files received from management (All Companies), for payroll processing.
- Reconcile payroll before transmission and validate confirmed reports.
- Respond to employees and all management-level inquiries.
- Process accurate and timely year-end system updates, reporting, and adjustments when necessary (W-2, W-2c, etc.).
- Perform other duties as assigned.
Wellness & Benefits Support
- Research 401k issues and fallouts and update Fidelity accordingly.
- Responsible for HSA and 401k Funding.
- Set up newly eligible participants with WEX for HSA account and update terminated employee status.
- Provide support on day-to-day benefits administration.
- Support the events committee in all wellness events.
Experience & Required Skills
- AA or Bachelor's Degree or relevant years of experience with a minimum of 4 years in Payroll.
- Knowledge of Payroll regulations and compliance laws and policies.
- Proficient in using Microsoft Word, Excel, UltiPro, and Microsoft Outlook.
- Ability to work independently in a high-energy environment, providing tactical solutions and collaborative efforts to processes.
- Maintain a strong work ethic, integrity, and confidentiality.
- Strong interpersonal (verbal and written) communication skills.
- Organizational, multi-tasking, and prioritizing skills.
- Ability to communicate with various levels of management.
