Summary:

The Payroll / Staff Accountant will (1) be responsible for processing payroll for the company bi-weekly and (2) performing general accounting duty and working closely with the payables team during the financial close. This Position will ensure payroll information and invoice data is accurately recorded in NetSuite to support financial reporting and analysis. The Position will also work with colleagues and vendors to resolve any discrepancies or other issue. This role will report into the Director of Accounting.


Responsibilities:

  • Run the entire payroll process bi-weekly, which includes but is not limited to,
    • Recording employee information and payroll data in NetSuite, such as updating payroll records by entering changes in exemptions, insurance, or benefit coverage, 401(k) savings deductions, and job title and department/allocation transfers
    • Collecting and verifying timekeeping records for hourly employees, calculating any overtime payments, and consulting managers about any discrepancies
    • Initiating direct deposits
    • Reconciling payroll information with the general ledger
    • Ensuring compliance with state and federal laws on payroll
    • Overseeing employee paychecks, deductions, and withholdings
    • Determining payroll and tax liability accruals
    • Processing disbursement and reconciling timely
    • Assisting with the preparation of any data analysis and tax filing supporting document from the payroll system
    • Audit and process all employee expense reports through payroll
  • Perform general accounting function with Payroll and AP focus, which includes the following:
    • Process prepaids, accruals and credit card transactions in NetSuite
    • Ensure payables are booked to correct accounts and business units
    • Process data from claims and invoices into NetSuite to capture all relevant fields at times
    • Reconcile processed work by verifying entries and comparing system reports to balances
    • Pay vendors by verifying federal ID numbers and preparing and scheduling checks
    • Process cash receipts in NetSuite
    • Report sales taxes by calculating requirements on paid invoices
    • Ensure credit is received for outstanding memos and record accordingly
    • Issue stop-payments or purchase order amendments
    • Assist with monthly close and recording payroll accrual or other journal entries
    • Prepare balance sheet reconciliation of various accounts such as payroll tax liability, accrual liability reconciliation, etc.
    • Maintain accounting ledgers by verifying and posting account transactions to proper accounts and with proper allocations
    • Assist on shared service expense analysis and reconciliation workbook 
    • Support with process improvement and process optimization

Experience/Qualifications:

  • Bachelor’s degree in Accounting, Finance, or relevant field
  • 1+ years accounting expense
  • 1+ years payroll experience required; ADP/Ceridian preferred
    • Payroll experience with hourly workers and multiple states required
    • Payroll experience automating entry into an ERP required
    • Payroll experience with multiple entities, over 100 employees, and with California employees preferred
  • Knowledge of national and regional laws on payroll and taxes
  • Previous advance level of Access and MS Excel preferred
  • Previous accounts payable experience preferred
  • Previous experience with medical claims preferred
  • Previous experience with NetSuite preferred
