We are currently seeking a skilled and highly organized People and Culture Administrative Assistant to provide highly detailed and critical support across multiple functions including Total Rewards, HRIS, and Employee Relations. The ideal candidate will be detail-oriented, highly organized and expert at administrative accountabilities and process improvements.

 

As a key member of the People & Culture team, you will have full scope accountability for preparing confidential correspondences and ensuring all HRIS data, records and reporting is accurate and up to date.

 

 

What You’ll Do:

· Prepare correspondences related to employee lifecycle changes, legal requests, and 3rd party reporting.

· Triage external requests as needed.

· Organize and maintain physical and electronic employee files, ensuring accuracy and accessibility including the maintenance of system records in ADP, HRIS system of record.

· Assist in document production for subpoenas, court filings and discovery requests.

· Ensure compliance with record-keeping requirements and assist in audits as needed.

· Coordinate meetings, appointments, and manage the team's calendar and agendas as needed for team meetings.

· Assist with maintaining the Total Rewards site of IntelyNet. Review and assign unclaimed ZenDesk tickets.

· Complete and file required census reporting and other reports required by government and regulatory agencies.

· May be accountable for unemployment claim processing or act as back-up when needed.

· Participate in final review of People & Culture materials, communications and audits to ensure highest level of accuracy.

· Assess and improve processes ensuring continuous improvement.

 

 

Who you are:

 

· Proven successful experience as People & Culture administrative assistant or executive assistant.

· Familiarity with the People & Culture function and roles; familiarity with and HRIS system required, ADP knowledge preferred with ADP EV6 highly desirable.

· Strong organizational skills and attention to detail with seamless ability to focus and execute successfully with simultaneous deadlines.

· Ability to handle confidential and sensitive information with discretion.

· Proficiency in Microsoft Office Suite.

 

 

The Role: What are the Performance outcomes over the first 6-12 months you will work toward completing?

 

In the first 30 days you will:

 

· Gain firsthand knowledge of all processes related to Total Rewards, Employee Relations and ADP EV6.

· Gain knowledge of partnerships cross-functionally for P&C team.

· With minimal supervision, demonstrate proficiency in creating standard correspondence for employee changes.

 

In the first 12 months you will:

 

· Demonstrate ability to assess current processes and make recommendations for improvement.

· Streamline operational efficiencies within the team with proactive planning for all calendar of events and deadlines.

· As the administrative expert within the team, you will be accountable to ensure the highest level of accuracy and information provided to employees and retained on behalf of the company.

·  Your contributions will directly impact and facilitate the success of the People & Culture team, our reputation and ability to drive IntelyCare success.

· You will be an integral part of the company’s timely response to external requests, including compliance reporting and answering subpoenas.
