Job Description

Who We Are
Piaggio Fast Forward Inc. (PFF) was founded in 2015 by the Piaggio Group (the Italian manufacturer that created the iconic Vespa scooter, I know, cool right?). We are on a mission to build technology products that move the way that people move. In order to bring products to market today, PFF is solving the problem of robotic interaction with people in dynamically changing environments. We're innovators, neighbors, and creators with a passion for local living and pushing the limits on urban transportation. We support a sustainable mobility ecology with healthy lifestyles and social connectivity available to all, regardless of age or abilities.

The Opportunity
The People & Culture Coordinator position is a cross-trained position that provides several areas of support for the PFF team and works to maintain a productive, efficient, and positive work environment. As a member of the People & Culture team, this role is instrumental in supporting key tasks such as vendor management, office budgeting, approving invoices, and several PeopleOps and Talent Acquisition activities.

The People & Culture Coordinator is essentially the face of the company; it's imperative that you are highly professional and positive in nature. Key attributes include being highly organized, self-motivated, possessing strong attention to detail, and has a genuine interest in growing their career in People Operations/HR/Talent Acquisition and taking on ad hoc projects. You must be comfortable engaging directly with vendors, partners, employees of all levels, and contractors. This position is full-time in the office (with the possibility of 1-2 days per week remote) and reports to the Manager, People & Culture.

The Responsibilities

  • Perform and oversee various administrative functions and processes
  • Acts as the organization's point person for outside facility vendors and facility service providers for both office locations
  • Assist planning and coordination of office-wide facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders
  • Monitor inventory weekly and place orders as needed for office equipment, supplies, and/or provisions
  • Manage or administer office-related accounting processes, including budgeting, initial invoice approver, and time tracking for hourly employees
  • Support PeopleOps, Culture, and TA activities or initiatives, such as employee onboarding, interview coordination, required labor law postings, training, etc.
  • Perform company database or PeopleOps system administration tasks, including data input, reporting, user support, and upgrades
  • Takes initiative to resolve day-to-day problems creatively and coordinates with stakeholders or other team members to obtain solutions
  • Primary OSHA & Safety coordinator for both office locations; responsible for ensuring proper facility posting requirements, performing spot checks, reviewing log books, etc.
  • Maintain proper documentation in the Google shared drive, updating documents when necessary, and keeping documents organized

The Skills Needed

  • 1+ years of related experience in either an office coordination/management or People Operations role
  • Positive, upbeat personality that enjoys juggling multiple priorities
  • Highly organized
  • Ability to take direction and change direction quickly, as needed

Commitment to Diversity
We strive to create a workforce that embraces every culture, language, age, sexual orientation, disability, gender identity, background and experience. PFF has multiple DEI programs in place for our employees; including a mentorship program, regular pay equity audits, DEI training, and a standardized interviewing framework that is focused on "culture add". These programs support an equitable and inclusive workplace that promote the growth, retention, and recruiting of women and BIPOC in the workplace.

Note: Even if you don't meet all of the requirements listed we encourage you to apply. Think of it more as looking for some of the items listed, not all.

Where legally permissible, must be willing to provide proof of COVID-19 vaccination status on first day of employment.
